Role Description
The Executive Assistant provides high-level administrative and organizational support to senior executives, ensuring seamless management of daily operations and strategic priorities. This role demands exceptional discretion, professionalism, and efficiency, as well as the ability to anticipate needs and handle sensitive information. Key Responsibilities
* Manage complex calendars, coordinate meetings, and schedule appointments across multiple time zones.
* Serve as the primary point of contact for internal and external communications on behalf of the executive.
* Prepare, proofread, and edit correspondence, presentations, reports, and other business materials.
* Coordinate logistics for executive meetings, board sessions, conferences, and travel arrangements.
* Handle confidential information and documents with the highest level of discretion and professionalism.
* Track key initiatives, action items, and deadlines to ensure timely execution and follow-up.
* Liaise with cross-functional teams to facilitate information flow and support collaboration.
* Manage travel arrangements, including flight bookings, accommodations, visas, and expense reporting.
* Organize and maintain digital and physical filing systems to ensure accessibility and compliance.
* Screen and prioritize phone calls, emails, and meeting requests for the executive.
* Assist in preparing budgets, processing invoices, and tracking expenses.
* Support executive decision-making by gathering and analyzing relevant information or data.
* Coordinate internal communication, employee engagement, and event planning as needed.
* Act as a gatekeeper, balancing access to the executive while ensuring effective workflow.
* Represent the executive with professionalism in all internal and external interactions.
Qualifications
* Bachelor's degree in Business Administration, Communications, or a related field preferred.
* 3–7 years of experience as an Executive Assistant or in a senior administrative support role.
* Excellent organizational, time management, and multitasking skills.
* Outstanding written and verbal communication abilities.
* Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, Zoom, Slack).
* Strong attention to detail and accuracy in all tasks and deliverables.
* Ability to handle confidential information with integrity and discretion.
