Role: Personal AssistantDepartment: BankingLocation: Cork CityContract Duration: PermanentRole OverviewWe are currently looking for a Personal Assistant (PA) to join our firm. The successful candidate will provide comprehensive administrative and secretarial support to our Partners and Associates, ensuring the efficient operation of daily activities.While the role is primarily dedicated to supporting the Banking team, there will be occasional requirements to provide light onsite administrative assistance to fee earners from other departments based in Cork. The support will be limited to onside tasks such as printing and post. All core PA support for those departments will continue to be provided by their Dublin-based PAs.This position requires a professional who can manage a variety of responsibilities with precision and discretion, contributing to the firm's overall success.Key ResponsibilitiesIn this role, you will be responsible for:Managing complex diaries, scheduling meetings, appointments and travel arrangementsPreparing detailed travel and Business Development packs for business trips, as and when required, that include all necessary information to support the Partner(s)/Associate(s) whilst away - these packs should be tailored to the specific purpose of the trip and the clients or contacts involvedProducing and amending high quality documentation from digital dictation and hand-written drafts, adhering to the William Fry house styleOverseeing the billing process from start to finishCompiling Business Development documentation for new client meetings, including conducting research, compiling bios and gathering relevant company informationEntering and reporting on Business Development data in our Interaction CRM systemManaging emails, calendars, and contacts for the Partner(s)/Associate(s), prioritising and responding to emails whilst maintaining an organised contact databaseAccurately managing all filing, including both electronic and paper files, ensuring all documentation is filed accurately and promptlyProviding general administrative support such as printing, posting, photocopying and scanning, ensuring all administrative duties are completed efficiently and to a high standardAd hoc duties as and when required by the Partner(s)/Associate(s) within assigned allocationThe PersonYou have a minimum of 4 years' experience as a Legal PA/Secretary supporting senior staffYou have advanced working knowledge of MS Word, Outlook, Excel & PowerPointYou have experience working with document management, billing and digital dictation systemsYou have the ability to efficiently re-prioritise tasks, as and when requiredYou have a flexible approach to your work and can effectively prioritise tasks in order of importanceYou always act in a discreet/confidential mannerYou can demonstrate a team focus and willingness and flexibility to assist others when requiredYou are eager to learn/develop skills and knowledge to continually improveAbout usEstablished in 1847 by our founder William Fry, we have grown to become one of Ireland's leading corporate law firms.With a team comprising over 350 legal and tax professionals and a workforce of over 500, our reputation rests on our expertise in key practice areas such as Corporate and M&A, Banking & Finance, Litigation & Investigations, and beyond.
