Job Purpose
Actively deliver a Corporate Actions capability that meets planned activity levels and client needs, meeting &/or exceeding the agreed standards. It is critical to provide these services against strict timetables and with minimal errors. Scope of service relates to a diverse book of Financial Instruments including Unit Trusts, Direct Equities, Structured products, Fixed Government Securities and Externally Managed Portfolios across all business lines.
Key Responsibilities
1. Planning & Development
• Conversant with planned requirements for Corporate Action service and assist in the implementation of required business level activities including introduction of new products.
• Appropriate liaison and representation in a factual, professional level with all "Stakeholders" including plan holder facing departments, internal support activities, Plan holders, Brokers, "IFA's", Custodian, Internal Committees and Fund Managers.
• Appropriate involvement in best practice implantation.
• Meet deadlines set to ensure delivery.
2. Corporate Action Processes
• Provide a Corporate Actions capability to ensure changes to underlying Fund assets are actioned professionally and within appropriate timeframes.
• Distressed Asset monitoring and reporting.
• Provide a Re-Registration Service to match or exceed plan holder requirements.
• Ensure timely and accurate application of Cash and Reinvest Dividends to financial instruments held on behalf of plan holders.
• Income accounts reconciliations completed to identify and resolve any break within agreed timeframe.
• Dividend accruals.
• Competent in the use of the various external Banking systems.
• Deal with complex issues and the effective resolution of any complaints.
• Escalate client issues in accordance with laid down procedure and best practice to ensure timely resolution and dealt with sensitivity and professionalism.
• Adherence to processing instructions within target time scales and investigate/resolve any delays.
• Timely and accurate processing of instructions within planned timescales and with minimal errors.
• Timely and accurate feedback to all relevant parties.
• Ensure all process maps and procedures are current.
• Productivity standards established and monitored for all key processes.
• Flag cash flow variances immediately to management.
• Escalation of errors/incidents to management.
• Statistics and KPI reporting.
3. Leadership, Development and Management of Staff
• Support team members to achieve challenging performance targets, providing encouragement and guidance when needed.
• Align own behaviours to the Utmost values.
• Define and pursue own personal development plan.
• Act as a role model and mentor.
4. Project Implementation and Productivity Improvements
• Identify areas for potential process improvements with the aim of improving efficiency and client service while also reducing manual effort and risk within the Corporate Actions functionality.
• Assist in the implementation of key projects to improve quality and productivity.
• Platform migrations across all products.
• Workflow supports across all products.
• Definition and implementation of key process changes in pursuit of increased plan holder satisfaction.

5. Risk Management
• Embed effective risk management within your function, clearing all assurance actions (internal audit, risk related actions etc.) in a timely manner and that no significant breaches of control over and above the self-assessment process.
6. Other Related Duties
• Conduct the role of responsible authorised signatory as per the mandate given when added to the authorised signatory list.
• Perform other job-related roles and duties as required by management for the effective running of the department. Willingness to accept such requests and perform them to the best of their ability in a timely fashion.

• Proven experience at Senior Administrator level within the Finance Sector.
• Proven track record of delivering and maintaining best practice in Investment Operations process and service delivery.
