Working closely as part of a small team, the successful candidate will be responsible for managing the administration for the Firm’s Trainee, Intern and Placement Programmes (from recruitment to qualification). The Firm hires approximately 50 trainees per year, up to 60 interns and 15 placement students. The team is responsible for the attraction and recruitment of trainees and interns, as well as managing the trainee and intern programmes.
The successful candidate will assist on both the recruitment and the programme management side making it a varied, interesting and busy role. As recent winners of the gradireland ‘Most Popular Graduate Employer in Law’, the ideal candidate will help us maintain those standards.

Key Responsibilities
Trainee and Intern Recruitment:
* Manage bookings for careers fairs and co-ordinate current trainees to assist at career fairs.
* Act as a brand ambassador for the firm at career fairs and other recruitment events on campus. This may include travel outside of Dublin.
* Assist with any internal/external events targeting future hires.
* Shortlist applications alongside the Graduate Recruitment Manager and ensure all queries are answered promptly.
* Provide administrative support in connection with Trainee and Intern interview process.
* Issue all contracts.
Summer Interns and Placement Students:
* Onboarding of Summer Interns and Placement Students.
* Issue new starter forms, upload onto the HR System and ensure reference checks are completed.
* Draft orientation schedule.
* Assist with organising the programme schedule which includes talks and social events.
* Organise trainee buddies.
* Check-in with regularly throughout their time in the firm alongside the Graduate Recruitment Manager.
Trainee Development Programme:
Onboarding:
* Issue trainee contracts and new starter forms for incoming trainee intake.
* Upload all incoming trainees on the HR System and ensure reference checks are completed.
* Draft orientation schedule for trainees.
* Liaise with the HR Operations team as required for the onboarding process for trainees.
* Organise trainee buddies for the incoming trainees.
Law Society Paperwork:
* Draft and coordinate the completion and submission of all trainee related paperwork for input of the Manager of the Trainee Development Programme and issue to the Law Society of Ireland in a timely manner.
Support:
* Support the Manager of the Trainee Development Programme on day to day trainee related matters.
* Liaising with trainees, Practice Groups and relevant business services areas as necessary.
Newly Qualified (NQ) process:
* Assist the Manager of the Trainee Development Programme throughout the process.
* Collate statistics, information and documents for the NQ process as required.
* Liaise with the HR Operations team on contracts.
Marketing and Social Media:
* Liaise with the Marketing department on the social media content calendar, merchandising and the creation of marketing collateral.
* Creating relevant content for our social media channels.
Skills, Knowledge and Expertise
* The ideal candidate will have 2-3 years experience in graduate recruitment administration.
* Experience in a professional services industry would be an advantage although not essential.
* Ability to work independently and collaboratively as a member of a team.
* Strong organisational skills, high level of attention to detail, creative problem solving, and ability to balance demands of multiple tasks.
* Excellent communication and interpersonal skills.
* A high level of motivation and a proven self-starter.
* Ability to take ownership of work stream and output.
* Proactive and enthusiastic.
* Ability to work in a fast-paced environment.
* Other tasks as required.
