Job descriptionJob OutlineThe post advertised requires the applicant to manage the administrative procedures within the residential care facility, as directed by the Director of Nursing and senior management. This entails receptionist and HR duties, as well as dealing with marketing and financial related matters. The ideal candidate will be highly motivated and creative, have a warm, welcoming, and outgoing personality, be able to integrate into a dynamic and friendly team atmosphere, and demonstrate a high-quality skill set to maintain the exceptional standards and person-centred services set by the care facility.Person Specification· Minimum 3 years' experience in office administration or a HR role.· Third-level education in a relevant discipline may be an advantage, but not essential.· High level of knowledge and proficiency in the use of Microsoft Office, Excel and other office systems (e.g., EPIC/timepoint ) and tools – word (creating newsletters and advertisements), excel (spreadsheets), outlook, in addition to a strong awareness of and ability to use information technology (e.g., placing recruitment advertisements/creating work systems etc).Ability to work independently and on one's own initiative in a dynamic environment. Be able to multitask and prioritise duties using time management, organisational and communication skills. Strong numeracy and literacy skills are essential (e.g., report writing, letter writing, family, resident, and staff communication).· Have an excellent command of English, both written and spoken (e.g., letter writing, correspondence, telephone communication).Ability to work effectively and co-operatively with management and other employees.Have a strong motivation for continued professional development.Carry out any other duties as required in line with meeting the company's objectives.Ability to lead a dynamic busy teamGeneral Duties & ResponsibilitiesHR General/Financial Duties:Support management in all administrative aspects of the HR function, creating and maintaining appropriate filing systems and employee HR information to ensure the smooth running of the care facility (e.g., liaising with payroll and accounts departments, staff recruitment).Update staff and residents' information boards as required. Create and maintain accurate residents and employees' files ensuring all requisite documentation has been completed and signed. Update Garda vetting applications and work permit files.Provide existing and potential residents and their families with advice (e.g., regarding 'Fair Deal' funding applications and all relevant care facility information).Liaise with discharge coordinators in relation to bed availability and requirements.Ensure that all the statutory requirements for new staff are completed and HR check list is signed off.Regarding financial related matters, establish and maintain all records for the care facility including employee and resident details, payroll related reports, fees, cheque journals, lodgements, payment records and petty cash in line with internal procedures and ensure all money's are forwarded to Finance department for appropriate recording. Responsible for cash collection and debtor's management. Responsible for maintaining resident files on the EPIC system (e.g., chiropody, hairdressing) and ensuring all billable extras are recorded as appropriate.Other Essential Duties:To act as key contact of the organisation, dealing with incoming calls, emails and correspondence, including liaising with family members, and dealing with inquiries.Attend and participate in training and assessments as required to refresh or gain new knowledge/skills.Place monthly stationary order and maintain stock itinerary.Present the HR check list and staff file to PIC for sign of.Ensure a stock of staff files are prepared at all times.Attend and take minutes of meetings with the management team on HR related matters.Carry out all administration duties associated with the staff training matrix.Ensure that any administrative tasks that fall due while on holidays are planned for completion.Receive/Deliver daily post, newspapers, and care facility newsletter to residents.From time to time assist remotely in the sister care facility, if required with administrator duties.May be called upon to assist with special projects and assume responsibility for the development, administration and promotion of specific projects as required.Job Types: Full-time, PermanentJob Types: Full-time, PermanentPay: €16.00-€19.00 per hourBenefits:Food allowanceOn-site parkingExperience:Microsoft Office: 3 years (preferred)Administration: 3 years (preferred)Work Location: In person
