Project Administrator – 6 month contract – Hybrid – Dublin – €200-250 per day – Immediate start
Objectives of this role
Support the Programme Lead and project team in executing a phased public pilot, ensuring daily and weekly schedules are strictly maintained.
Ensure the accurate and secure manual triage, batching, and segmentation of pilot registration data.
Support the project's feedback process by systematically extracting, categorising, and reporting on inbound user queries and system feedback.
Facilitate administrative support and separate communication pathways for specialised stakeholder cohorts.
Maintain consistency of approach across the pilot by supporting the administration of schedules, tracking logs, and project documentation repositories.
Responsibilities
Manage the manual extraction, triage, and sorting of pilot registrations using Microsoft Excel and CSV files.
Execute phased communication workflows, including setting up and sending targeted emails and mail merges for user instructions and feedback surveys.
Monitor inbound project feedback pipelines, categorising queries and collating actionable data into basic weekly reports for the project working group.
Coordinate project meetings and workshops, ensuring agendas are set, notes are taken, and comprehensive actions are recorded and tracked.
Serve as a reliable administrative point of contact for project team members and assist in coordinating communication with external stakeholders.
Maintain project documentation, collaborative workspaces, and basic risk/issue logs during the project lifecycle.
Required skills and qualifications
1 to 3 years of administrative, PMO support, or data coordination experience.
Strong proficiency in MS Office, specifically Microsoft Excel (must be comfortable managing CSV exports, sorting data, and executing mail merges).
Excellent organisational skills with strong attention to detail, specifically regarding the secure and careful handling of basic Personal Identifiable Information (PII) like names and email addresses.
Proven ability to work collaboratively with cross‑functional project teams.
Strong written and verbal communication skills, with a polite and professional email manner.
Ability to work efficiently in a fast‑paced, short‑term project environment.
Preferred skills and qualifications
Previous administrative experience within the public service or large organisations.
Familiarity with basic project management, task tracking, or ticketing tools
