Job Summary
The role is part of the Facilities Team, which delivers property, capital works, facilities, energy, and fleet management services to the organisation.
Reporting to the Property Manager, the Administrator provides support in the areas of Property & Rates Management and Capital Projects.
Key Responsibilities:
Support property acquisitions, disposals, and lease management activities.
Support property rates management, including the valuation and payment processes.
Provide administrative support to capital projects from initiation through to completion.
Assist with procurement processes, including tenders and contract administration.
Provide effective record keeping and assist with achieving management.
Act as a point of contact for consultants, local authorities, landlords / tenants and co-coordinate property access and inspections as required.
Raise and track purchase orders / arrange invoicing and monitor payments as required.
Administer end-to-end payment / revenue processes in line with organisational systems.
Administer the contract management process, including contract approval and signing.
Prepare routine status reports and dashboards as well as meeting agendas and minutes.
Support reporting to senior management and committees as required.
Essential Hiring Criteria:
Strong organisational and administrative skills with excellent attention to detail.
A minimum of two years' experience in a similar role, along with familiarity with maps, plans, and technical drawings, is desirable.
Sound financial awareness, including experience tracking costs and budgets.
Strong written and verbal communication skills.
Proven ability to manage multiple tasks and meet deadlines.
Proficiency in Microsoft Office applications.
