Job Overview:
We are seeking a reliable and proactive Receptionist/Administrator to join our property management team.
The ideal candidate will provide essential administrative support and front-line customer service, ensuring smooth office operations.
This role requires a professional with strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Reception Duties:
Greet and assist tenants, visitors, and contractors in a friendly and professional manner.
Manage incoming calls, emails, and inquiries, directing them to the appropriate team members.
Maintain a tidy and welcoming reception area.
Administrative Support:
Answer and direct phone calls, take messages, and handle routine inquiries.
Schedule appointments, meetings, and property viewings for the property management team.
Assist with tenant correspondence, including sending notices, reminders, and updates.
Process maintenance requests and work orders and ensure timely follow-up.
Maintain and update tenant records and lease files.
Assist with preparing reports and basic office documentation.
Perform general office tasks such as filing, photocopying, and data entry
Office Coordination:
Ensure that office supplies are stocked and maintained.
Assist with organizing property inspections, move-ins, and move-outs.
Coordinate scheduling for building maintenance and service appointments.
Support team members with various administrative and office management tasks as needed.
Requirements:
Proven experience as a receptionist, administrative assistant, or in a similar role, ideally in property management or real estate.
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Ability to handle multiple tasks simultaneously in a fast-paced environment.
Professional demeanor and customer-focused attitude.
Proficiency with office software (e.g., Microsoft Office Suite, and Sage beneficial).
Experience with property management software (e.g., blockman, letman, Reapit) is a plus.
Basic knowledge of property management processes or a willingness to learn.
