Documentation Controller
Reporting to the Documentation Business Unit Leader, and joining the Documentation team, this position will be based in Cork.
Responsibilities
Documentation control.
Log all orders requiring full documentation packages.
Record document certificates and log them on Intact IQ.
Issue VDS to each customer.
Check sales orders against customer purchase orders.
Upload documentation in electronic format to documentation portals or customer portals.
Invoice for doc line items once final copies are issued and chase doc invoices.
Prepare documentation related to KPIs and customer reports as needed for jobs or projects.
Manage the Documentation record management system (Doc Boss), coordinate processes and ensure ongoing compliance.
File and housekeep as per company procedures.
Maintain accurate and detailed records/files on customer job files – both in hard copy and soft copy.
Stay aware of and act upon related personnel, department, and company procedures/KPIs.
Meet deadlines and work towards set team and departmental targets.
Follow ISO 9000 quality and health & safety procedures.
Build relationships and work in partnership with all cross‑functional teams.
Requirements
Ideally the candidate would possess the following skills and experience:
Excellent administration and IT skills, including experience with MS 365, Excel, MS Word, PowerPoint, and ERP systems.
Ability to identify customer needs and recommend appropriate solutions while achieving the highest level of customer satisfaction.
Capacity to work consistently as part of a team and independently.
High attention to detail with technical speed and accuracy.
Reliability and commitment, with the ability to work in a busy, customer‑focused environment.
Analytical, detail‑oriented, and organized; capable of using own initiative.
Effective communication and people skills are a prerequisite.
