KNOW THE ROLEThe Purchasing Assistant plays a key support role within a very busy luxury buying office.

The primary function of the role is to place purchase orders quickly, accurately, and in line with agreed stock, OTB, and inventory controls.

The role requires strong systems capability, numerical confidence, and an understanding of how accurate ordering, forecasting, and stock availability directly support sales - particularly across core NOS (Never Out of Stock) SKUs.

This is an operational role critical to the day-to-day effectiveness of the buying function.

Your responsibilities will include: Purchase Order Placement Place purchase orders accurately and at pace, in line with approved OTB and stock parameters Action auto-replenishment orders and ensure timely execution Ensure all orders are raised correctly within relevant systems Monitor outstanding orders and follow up where required Sales Forecasting & Stock Flow Support sales forecasting through accurate analysis of historical data and current trading Use forecasts confidently to inform order quantities and replenishment decisions Maintain healthy and appropriate stock levels across NOS SKUs, recognising their importance to ongoing sales performance Proactively identify risks to availability on core lines and take action to prevent stock gaps Stock & Inventory Support Monitor stock-to-sales ratios and flag risks relating to over- or under-stocking Support inventory controls to ensure stock levels remain commercially appropriate Maintain clear visibility of stock commitments and intake OTB & Controls Ensure all orders are placed within agreed Open-to-Buy limits Maintain strong attention to financial and stock controls Escalate discrepancies or risks promptly Systems & Accuracy Use inventory, planning, forecasting, and replenishment tools on a daily basis Maintain high standards of data accuracy and system integrity Ensure all stock and order information is correctly reflected in systems Team Support Provide reliable administrative and operational support to the buying team Support peak trading periods with flexibility and resilience KNOW WHAT WE'RE LOOKING FORPrevious experience in a purchasing, buying admin, or stock-focused role Experience placing purchase orders in a fast-paced environment Ability to forecast sales with accuracy and confidence Working knowledge of: Open-to-Buy (OTB)Stock-to-sales ratio and inventory controls Auto-replenishment systems Inventory, planning, and forecasting tools Strong attention to detail and accuracy Naturally analytical with good numerical ability Confident working with sales data and forecasts Comfortable working at speed in a high-volume environment Organised, methodical, and process-driven Reliable, proactive, and calm under pressure KNOW WHAT'S IN IT FOR YOUWe believe that every team member should have the opportunity to curate a meaningful career that enhances professional and personal development.
