Facilities & Accounts Administrator – Shannon

Our aviation client in Shannon is expanding, and due to growing operational demands, we are looking for a Facilities & Accounts Administrator to join their dynamic team. The Role
This is a varied and engaging position supporting both the Facilities and Tooling Departments, while also assisting with basic accounts administration. You’ll play an important role in keeping the operation running smoothly — from scheduling maintenance works to processing invoices.
Key Responsibilities
* Facilities Department
o Schedule and manage Planned Preventive Maintenance (PPM) works.
o Assign and track Reactive Maintenance tasks for on-site teams or contractors.
o Maintain accurate records in the ERP system.
o Prepare monthly reports on activities, expenditure, and requisitions.
o Provide day-to-day administrative support to the Facilities Team.
* Tooling Department
o Plan and coordinate PPM for tooling equipment.
o Oversee calibration and maintenance schedules.
o Source, purchase, and track tooling equipment.
o Manage ERP documentation and reporting, including KPIs and expenditure analysis.
o Support the Tooling Team with administrative duties.
* Accounts Administration
o Process purchase orders and supplier invoices.
o Assist with expense tracking and budget monitoring.
o Liaise with the finance department to ensure timely payments.
o Maintain accurate financial records relating to Facilities and Tooling costs.
Skills & Requirements
* 2+ years’ administrative experience, ideally within a Facilities, Tooling, or Accounts environment.
* Proficient in MS Office (Excel, Word, Outlook).
* High attention to detail with strong organisational skills.
* Ability to prioritise tasks and work to deadlines.
* Strong communication skills, both verbal and written.
* Experience with ERP systems and basic accounts processes (invoicing, purchase orders) is an advantage.
