Office Manager & Accounts Assistant
to support daily operations and strengthen their internal finance and administrative functions.

Role Overview
The Office Manager & Accounts Assistant will ensure the smooth day-to-day operation of the office while supporting core finance activities, including accounts payable/receivable, payroll, bookkeeping, compliance and general administration.
This position requires strong organisational skills, excellent attention to detail, and the ability to manage tasks independently without constant supervision.
Key Responsibilities
Finance & Accounts Support
* Accounts Payable:
Process, code and prepare supplier invoices for payment; manage supplier queries.
* Accounts Receivable:
Raise client invoices, allocate payments, and follow up on overdue balances where required.
* Payroll:
Preparing payroll for permanent staff and subcontractors using BrightPay.
* Bookkeeping:
Support day-to-day bookkeeping activities using QuickBooks, including data entry, reconciliations and financial record maintenance.
* Assist with the preparation and submission of VAT and RCT returns.
Key Responsibilities

Office Management & Administration
* Oversee the day-to-day running of the office to ensure an efficient, professional and well-organised work environment.
* Manage office supplies, meeting coordination, reception duties and general administrative support.
* Maintain effective filing and documentation systems (digital and physical).
* Provide administrative support across departments and assist with ad-hoc business tasks and projects as needed.
* Manage administrative aspects of the company's vehicle fleet, including documentation, upkeep schedules and compliance requirements.
Project & Commercial Support
* Work with the Contracts Manager to draft stage payment schedules for ongoing projects.
* Issue progress invoices for Project Managers and ensure documentation aligns with contract requirements.
* Support reporting and financial tracking for project teams as needed.
Key Skills & Experience
Essential
* 3+ years' experience in an accounts or office management role.
* Strong clerical and organisational skills in a busy office environment.
* 3+ years experience with BrightPay payroll and QuickBooks (or similar bookkeeping software).
* Excellent attention to detail and accuracy in financial processes.
* Ability to work independently and take initiative while contributing effectively as part of a team.
* Strong communication and interpersonal skills.
* Proficiency in MS Office (Word, Excel, Outlook).
Desirable
* Accounting technician qualification or similar
* Experience in the energy, construction or engineering industries.
* Familiarity with VAT and RCT processes in Ireland.
* Experience supporting project-based invoicing or contract administration.
