About the post: The successful candidate will provide an effective administrative and support service to the National Emergency Medicine Training Programme & the EM International Medical Graduate Programme. They will support the Operations Manager in the delivery of the relevant programmes and contribute to the development of the department. Specifically, the duties of the post will include: Supporting the EM Operations Manager with duties related to the ongoing development and delivery of Emergency Medicine Training in Ireland. Liaising with the National Director, Programme Leads and Vice Deans of Emergency Medicine on an on-going basis Supporting EM Trainers and Trainees on online platforms when required Supporting the delivery of Mock Exams for CSTEM & ASTEM trainees Supporting the delivery of CSTEM mandatory workshops; ECG, Airway, Sedation, MSK Attending and minuting of meetings where required Ensuring that all administration requirements for the International Medical Graduate & National Emergency Medicine Training Programme are carried out efficiently and effectively, these include but not limited to the following: Co-coordinating arrangements for the delivery of the IMG EM educational curriculum activities (Mandatory Workshops, CAPA Reviews, Recruitment, Inductions) Supporting key events for the NEMTP programmes (CAPA/ARCP/Recruitment) Supporting and answering trainee queries and correspondence as it arises Maintaining training files for relevant EM trainees both online and manual Co-ordinating and arranging counselling/review sessions for trainees as required Supporting the annual intake process for IMGTI end to end, preparing documents for shortlisting, interviews Co-ordinating any IMG shortlisting and interview panels as per ISPTC and ICEMT guidelines Maintaining the Surgical Training database (CRM) including data input and rotation management Maintaining the annual EM Calendar of events Maintaining and updating the EM Consultant database Setting-up e-mail addresses and log in access to RCSI accounts for all new trainees or trainers Ensuring the NCHD database is up to date and accurate Liaising with relevant external bodies such as the FORUM, Royal College of Emergency Medicine, England, Medical Council Ireland, Universities and Training Hospitals Liaising and working with the EM Operations Manager to ensure ICEMT related decisions applicable to the programmes and specialty are actioned and communicated Undergoing programmes of training and development as may be required from time to time Complying with statutory legislation and department rules and requirements in furtherance of your own and general staff welfare and safety. Representing the best interests of the Department and RCSI at all times Performing other duties as may be required from time to time Person Specification: The successful candidate should be able to demonstrate the following: Strong organisational and administrative skills An effective communication style appropriate to audience and situation The ability to deal effectively with sensitive / personal information appropriately and sensitively Strong computer skills including MS Office Suite and word processing skills The ability to work on own initiative as well as in a team environment Flexibility to work irregular hours on occasion.
