Position Summary The Office Administrator is a cross-functional position, performing several important administrative and office tasks, interacting with Customers and all departments within the company.
At all times ensuring the office administration operations run smoothly.
Duties General office administration duties – phones and reception, handle and distribute incoming and outgoing mail, maintain general office administration records.
Oversee stock of office and kitchen supplies, ensuring adequate stock levels are maintained.
Maintain general office administration records.
Setting new Customers up on systems – Oracle, Access and NAV.
PO process (Email, Salesforce) ownership – Check PO to ensure they are correct – Check overdue POs.
Support Accounts department with invoicing and purchase order activities, check invoice list weekly and at month end to ensure accurate data.
Liaise with Accounts department on Customer and Supplier queries.
Co-ordinate Customer onsite visits Provide support to the Senior Management team and other staff as required.
Customer Focus: Understands the importance of meeting internal and external Customers.
Education Degree Vocational/Technical Required Experience Minimum of 2 years' experience in a similar administrative role.
Demonstrated experience providing comprehensive administrative support to senior staff or teams.
Strong track record of managing competing priorities in a fast-paced environment.
Experience handling confidential information with discretion and professionalism Skills Task-Focused, managing multiple tasks and deadlines, often independently.
Detail-Oriented Work, working with data, timelines.
Time-Sensitive Work, thrives in roles were meeting deadlines and staying on schedule is critical.
