Purpose of the Role:
To ensure that colleagues are happy with their accommodation through the management of all accommodation issues, liaise with accommodation landlords and tenants as well as general accommodation administration including audits.
Key Accountabilities & Responsibilities:
Main Responsibilities
* To liaise with accommodation landlords and estate agents when required.
* To set up employees with accommodation direct debits and processing of such with Grimes.
* To inform employees when direct debits fail and they do not pay accommodation they will revert to cash payments until commitment to pay rent via direct debit or arrears are cleared.
* To provide support to staff living in accommodation (general queries, bank accounts, payments).
* Report any maintenance issues/ faults/ concerns from audits & colleagues to the landlord & follow up on completion.
* To carry out accommodation audits on weekly basis, and corrective action taken when necessary.
* To conduct annual house contents audits of Keelings owned items and report variances.
* Co-operation with finance and operations planning if employees are required to move to different accommodations during their time with Keelings.
Direct any workplace complaints/queries to Business Units and HR team if needed.
* To check CCTV cameras if required upon request from Senior Management and H&S personnel.
* Any other tasks as required by your line managers.
Accommodation placement service
Meet new employees upon their arrival into Ireland and assist with settling them into their accommodation.
Liaise with property landlords to sign off on accommodation before new employees arrive to the different locations and ensure that the properties are of the same standard when employees vacate same.
Ensuring new employees complete & sign accommodation checklist.
Ensure accurate reporting on headcount of employees within the accommodations.
Notify HR of leavers from accommodation in a timely manner.
Confirm numbers and dates of arrival & room allocation with HR.
KPI's
* Accommodation complaints at a minimum level.
Effective resolution of all accommodation placement service issues.
Key Skills & Knowledge
Essential:
* Excel skills are required with a particular competency in numeracy.
* Attention to detail.
* Excellent communication and problem-solving skills.
* Fluent English.
* Bulgarian or Polish language would be an advantage.
* Full clean driving licence.
Education & Qualifications:
Excellent communication and interpersonal Skills.
