Job Title: Operations Manager
We are seeking a skilled and experienced professional to join our team as an Operations Manager. In this role, you will provide support and ensure efficient case creation, scheduling, management, and processing of applications.
Key Responsibilities:
1. Strategic Objectives:
* Work closely with the Acting Regulatory Enablement Manager to manage and develop the section, ensuring seamless administrative support is provided efficiently and effectively.
* Develop strategic plans for the section and contribute to projects as required, prioritizing objectives and ensuring strategic goals are achieved.
* Manage and develop assigned staff within the section, fostering a culture of excellence and continuous improvement.
2. Operational Management:
* Organise, plan, and manage work allocated to teams, providing project management for cases as required, and monitoring progress and status against timelines.
* Compile statistical data analysis and report regularly on progress against targets, adhering to established quality standards.
* Attend meetings of the Human Products Authorisation & Registration department, representing the team's interests and contributing to decision-making processes.
3. Quality and Knowledge Management:
* Ensure adherence to HPRA Quality Management System procedures and policies, implementing corrective actions as necessary.
* Develop standard operating procedures and practices with the management team, promoting effective use of available information and knowledge across the organisation.
* Participate in internal audits, identifying areas for improvement and implementing changes to enhance overall performance.
4. Performance Management:
* Set performance targets with the Acting HPAR Regulatory Enablement Manager, communicating goals, objectives, and performance targets to the team.
* Co-ordinate and participate in the performance development programme, recognising good performance and promoting a culture of continuous learning.
* Promote effective performance within the Business Process Co-ordination Section, driving results-oriented initiatives and best practices.
5. Communications/Customer Service:
* Provide timely feedback to team members, addressing concerns and suggestions for improvement.
* Represent the views of the team to the wider organisation, building strong relationships and fostering a collaborative environment.
* Deliver efficient and effective customer service, responding to inquiries and resolving issues promptly and professionally.
6. HR/People Management:
* Manage and supervise teams, overseeing staff development and training initiatives.
* Recruit and select staff in collaboration with HR, ensuring the right candidates are appointed for key roles.
* Provide front-line HR management of staff, handling queries and providing guidance on company policies and procedures.
7. General:
* Represent the organisation at external meetings, showcasing expertise and promoting the company's vision and values.
* Deputise for the Acting Regulatory Enablement Manager as required, taking on additional responsibilities and supporting colleagues during periods of absence.
