We are currently seeking a Workplace Experience Specialist to join our Workplace Experience team. This is a full-time in-office 13-month contract position for candidates based in our Dublin office.
What your team does:
The WX team manages Clio spaces, designs solutions to facility concerns, shares knowledge, and creates a unique workplace experience for all. They also support employee events and People programs, collaborating with the People department and cross-functional teams.
Who you are:
This role is office-based and involves supporting employee events and programs locally. You are a key support for all employees in the region, championing #TeamClio values, supporting business priorities, and facilitating an exceptional, locally tailored workplace experience.
What you’ll work on:
* Lead and manage select Workplace Experience projects.
* Manage spending related to Dublin office initiatives.
* Build relationships with internal stakeholders and experience teams.
* Support logistics for workplace renovations, expansions, and new builds.
* Manage relationships with key vendors.
* Oversee site operations, coordinate repairs, and track deficiencies.
* Manage front office operations and reception, ensuring standards are upheld.
* Ensure office spaces are well-stocked, clean, and welcoming, including light cleaning of communal areas.
* Contribute to and conduct budget reviews.
* Plan, coordinate, and host internal and external events.
* Maintain workplace policies for compliance.
* Oversee physical security and liaise with IT/Security teams.
* Participate in H&S Committee and assist with investigations.
* Analyze data to measure program effectiveness and recommend improvements.
* Improve processes for high-impact employee and guest experiences.
* Perform other duties as required.
What you may have:
* 2+ years in office administration or facility coordination.
* 1+ years in coordinating in-office and virtual events.
* OHS First Aid Level 2 certification.
Bonus points if you have:
* Experience with Slack, Confluence, Asana, Google Drive.
* Food Safety Level 1 certification.
