Department Role OverviewThe Arts Council is the Irish Government's agency for supporting and promoting the arts in Ireland. We work in partnership with artists, arts organisations, public policy makers and others to build a central place for the arts in Irish life.To provide facilities support to Facilities management to ensure the Arts Council's buildings, or any other delegated area as required, are in excellent condition and maintained to a high standard.C. Key ResponsibilitiesGENERAL MAINTENANCECarry our daily rounds and reading of all maintenance and electrical systems to ensure efficient operations.Daily inspection of all meeting rooms to ensure ready for working day, reporting any issues appropriately.Support cleaning staff to resolve any issues.Carry out weekly stationary requirements and place order check when received.Look after key boxes and issue keys (signing out) when necessary.Set up for meetings and rearrange afterwards.Support office relocations, moves and office re-layouts.Support Planned Preventative Maintenance activities, Energy, Wastes and Cleaning checks across the sites.Receive large/bulky items on site and move to appropriate destination.Maintain office areas in good order.Porterage of heavy parcels, equipment and miscellaneous items.Ad hoc tasks as requested by the Facilities Manager.Responsibility for all couriers, mail and postal activity in collaboration with Reception.Supervise and co-ordinate third party contractors attending site and inspect works after.Maintain visitors/contractors log and report any incidents.Carry out emergency procedures in the event of a fire, flood, break in, or accident etc.Liaise with stakeholders to optimise quality of service.Comply with relevant Health Safety requirements and be familiar with and ensure that fire, health and safety regulations are adhered to in all parts of the buildings and car park by inspecting, checking signage and advising on defects.Ensure the fabric and finish of the overall site is properly maintained and in good condition.Inspect all common areas for any leaks etc and arrange for remedial repairs.First responder with regards to RealTime FM and reactive tasks.Provide clerical services to support the identified initiatives and work programme of the Facilities manager;Carry our additional work that may arise from time to time.Act as first point of contact for general queries / requests for information on maintenance and facilities ;Actively participate as a team member with suggestions to continuously improve the services offered.Note: Arts Council roles and responsibilities are subject to change as per on-going and future organisational requirements and developments.D. Skills Knowledge and ExperiencesGood understanding of health and safety standards and proven experience in a similar facilities role;Reliable, able to work independently and as a team, organised and pragmatic approach to getting things done;Flexible and enthusiastic in the context of a busy and demanding workplace;An ability to anticipate needs, to work effectively as a member of a team and work on her/his own initiative;A willingness to contribute positively to the team and to effective ways of working;Excellent communications and planning skills and ability balance different duties and ability to prioritise;A commitment to high standards of public service;Desirable- MS office;- Manual handling and safe pass;- The ability to communicate through the Irish language, both verbal and written, is desirable but not essential.
