Multidisciplinary Meeting Coordinator
Clerical Officer Grade IV
Principal Duties and Responsibilities
Prepare and agenda/patient list before meetings and send to all members of the MDT three full working days in advance of the meeting.
Manage number of referrals for each MDT meeting.
Book meeting rooms and ensure IT equipment is available and ready for use.
Assist and liaise with external agency MDT line person, e.g. CUH and Bon Secours. This includes transfer of patient data confidentiality if so required, e.g. Radiology images.
Have all external radiology diagnostic images uploaded on MediWeb.
Where applicable organise the retrieval of Healthcare Records in advance of MDT meeting and ensure the timely return to source, i.e. medical secretary’s office, medical records dept., ward etc.
Collate accurate, timely and relevant data as required by Risk Management and others.
Ensure patients treatment plans are documented by the relevant Consultant/NCHD in the patient’s healthcare record and electronic clinical reporting database in a timely fashion.
Ensure the outcome of each meeting is reported to the appropriate medical team.
Upload attendees to all MDT meetings onto relevant database and calculate CPD points for doctors in attendance.
Establish effective communication with clinicians and other members of the MDT and actively participate in development and change to any systems to assist with improving patient care.
Maintain comprehensive electronic diary of all team meetings including names of attendees.
Inform CHAIR of each meeting of non-attendees and endeavour to seek an alternative suitable date.
Take minutes where applicable at MDT meetings.
Participate in the design and implementation of pro forma used to ensure all patients are discussed and outcomes recorded.
Work collaboratively with medical secretaries to ensure appropriate management of patient information.
Provide periodic reports as requested identifying and highlighting trends, practice changes etc.
Eligibility Criteria
Hold a relevant Administration qualification and have achieved a high level of proficiency in same.
Possess excellent communication, interpersonal and organisational skills, and have the ability to work on his/her own initiative.
Be very patient focused with an approved record of managing sensitive and confidential information.
Be a highly motivated self-starter with demonstrable competence in a stand‑alone administrative role.
Have a comprehensive knowledge of administrative processes and IT skills (to encompass database and excel) to assist in the delivery of a coordinated approach to patient care.
Database administration.
Accuracy and attention to details in respect of data entry.
Effectively manage time and resources.
Be extremely flexible, this is a new position presently evolving and consequently a flexible approach is required.
Previous MDT experience would prove an advantage. Support and training will be provided to enable the appointee to undertake this role.
Possess a broad understanding of medical terminology.
Knowledge and experience of the Healthcare Records environment is desirable.
iPMS experience is desirable.
Hours of Work
17.5 hours per week.
The working hours can vary to attend scheduled MDT meetings that commence at 7:30am. These hours will be agreed with the Administration Services Manager.
Both MDT Coordinator’s are required to cover each other during periods of planned and unplanned leave.
