Reporting to the Head of Operations, the Sales Administration Executive is a valued member of the team. The role is primarily responsible for ROI vehicle quoting, vehicle recommendations, arranging vehicle fit outs, assigning appropriate funding, and accurate deal preparation through to the end process of all vehicle deliveries. The role involves working alongside both sales and finance teams, providing high quality administrative support, and collaborating across all aspects of sales administration, including our office in Northern Ireland (NI). There is a key focus on product knowledge, quoting accuracy, customer service excellence and proactive process management based on our customer’s requirements.

You will work closely with our ROI fleet customers, their drivers, our preferred suppliers and internal functions, providing industry expertise for vehicle choice, ordering vehicles through to delivery.


Responsibilities

* Preparation and guidance for delivery of ROI new vehicle quoting, supporting the Sales team on all new business opportunities.
* Responsible for efficient management of all ROI new vehicle orders and vehicle deliveries for both contract hire and rental stock.
* Placing vehicle orders for ROI directly with our preferred supplier network.
* Support preparation for funding proposals and gather all information required to support all applications.
* Arrange all vehicle fit outs in time for delivery, as agreed by the sales and customer at the time of order.
* Communicate effectively with customers, their drivers and/or our sales team regarding all customer requirements, vehicle renewals, grade lists, procedures and policies.
* Carry out daily reviews of all outstanding orders in the order bank, continually executing next steps based on all vehicle ETAs.
* Provide our NI office with sufficient paperwork and invoicing to support all new vehicle deal implementations for both contract hire and rental fleet.
* Prepare minutes for weekly meetings between NI and ROI office.
* Maximise customer retention and growth by providing expert advice on vehicle choice grade list accuracy.
* Management of all incoming customer queries, providing responses within agreed SLAs.
* Ensure exceptional customer service delivery.
* Track, review and analyse all feedback to develop strategies and process improvements.
* Any other duties that may be provided by management from time to time.


Qualifications

* Good organisation and ability to multitask.
* A good team player with a can-do attitude.
* Strong attention to detail and consistent accuracy.
* Good knowledge of Microsoft Office products.
* An ability to demonstrate initiative in problem solving.
