Job Title: Procurement and Facilities Specialist
This is a unique opportunity to join our organization as a Procurement and Facilities Specialist. The role will involve supporting the Property and Facilities Manager across multiple sites.
The successful candidate will be responsible for coordinating facilities projects and service tasks with third-party contractors, handling specifications, quotations, work validation, and invoice processing.
1. Key Responsibilities:
* Facilities Management:
o Coordinate facilities projects and services.
o Handle specifications, quotations, and invoices.
o Maintain building works registers and incident response processes.
o Update and manage FM manuals and provide weekly activity reports.
* Fleet Management:
o Process requests for new/replacement vehicles and oversee maintenance.
o Arrange tax discs, insurance, fuel cards, and toll tags.
* Procurement:
o Assist in developing scopes, business cases, and tender documents.
o Liaise with procurement team for tender releases and evaluations.
o Raise purchase requisitions and reconcile invoices.
* Budget Planning and Financial Management:
o Manage financial aspects of facilities management works.
* Document Control and General Support Duties:
o Order supplies, coordinate IT needs, and manage pandemic-related materials.
o Support event logistics including cleaning, security, and FM coordination.
* Stakeholder Relationships:
o Collaborate across business units.
o Liaise with suppliers, contractors, agencies, and local authorities.
Requirements:
* Degree in Business, Project Management, Procurement, or Facilities Management.
* Strong organisational, communication, and teamwork skills.
* Competent user of MS Office tools and SharePoint.
* Valid Irish driving license welcomed.
* Experience in public procurement and facilities management highly desirable.
