An experienced and dynamic senior facilities coordinator is required to oversee multiple client portfolios, manage subcontractor performance, handle high-level client communications, and drive operational efficiency.
Key Responsibilities:
* Taking ownership of planned preventive maintenance contracts ensures all service level agreements and compliance requirements are met.
* Planning, scheduling, and overseeing the delivery of PPM works with subcontractors and in-house teams enhances productivity.
* Serving as the main point of contact for key clients builds strong, professional relationships and proactively addresses issues or queries.
* Managing and delegating incoming ad-hoc and reactive work requests ensures timely allocation, follow-up, and completion.
* Monitoring subcontractor performance, including KPI tracking, quality assurance, and H&S compliance, improves overall quality.
* Supporting operational planning, reporting, and forecasting with the management team optimizes business processes.
* Leading process improvements to streamline scheduling, communication, and reporting workflows increases efficiency.
* Maintaining accurate job records, reports, and documentation for audit and client reporting purposes ensures transparency.
Requirements:
* A minimum of 3–5 years' experience in facilities management, maintenance coordination, or service delivery role is required.
* A proven track record of managing multiple contracts and client relationships is essential.
* Strong leadership and decision-making skills with the ability to delegate and prioritise effectively are necessary.
* Excellent written and verbal communication skills with a professional, client-focused approach are required.
* A high level of organisational and time management skills, with the ability to handle competing deadlines, is vital.
* Experience with CAFM systems and Microsoft Office (especially Excel and Outlook) is crucial.
* Knowledge of statutory compliance in building maintenance and PPM scheduling is advantageous.
