Alliance Francaise Dublin is ranked number 2 in Europe in terms of number of students. It is also one of the most dynamic Alliance Française in terms of cultural events. AFD is a language school, an exams centre, a training centre for teachers, a cultural and intercultural institution with a café, a library, a community of francophones and francophiles in Ireland. More than 50 people work in Alliance Francaise Dublin. Our teaching team is composed of approximately 30 teachers and we offer a wide variety of courses: different level (A1 to C2), different types (group classes, private classes, field trips, corporate courses), different formats (online, onsite, off-site, hy-flex).
Responsibilities
The Enrolment officer is a key position for our business to ensure the smooth running and delivery of all aspects of our activities. He/she is often the first contact for potential and existing students, members and customers, and is responsible for class registration, memberships, taking payments, giving information and other miscellaneous duties.
Under the supervision of the Course Director, he/she will carry out the following tasks:
Manage the front desk and physically welcome people, give information and present the services offered
Answer phone and email inquiries
Make sure all information is accurate at the reception (flyers, postcards, screen…).
Ensure all relevant information are duly communicated to the right service/person.
Facilitate the management of courses or workshops by providing as much information as possible to the Course Department (hours, type of course requested)
Proceed with payments
Ensure all students have paid their course before joining their class and track outstanding bills
Manage cash and on a daily basis
Enter customers' data in our CRM software (AEC) and courses information for each session
Assist with classes: schedules, payments, confirming classes and cancellations
Contact students (or other related duties) when required (cancellation, delay…).
Send "welcome emails", satisfaction surveys or reenrolment campaign when required
Participate in our Open days or other promotional events when needed
Ensure a daily follow-up of all customers' requests to be communicated to the Course Department
Keep track of all dates and actions to be conducted by the reception on a regular basis (emailing campaigns, information, specific forms…)
Report any issue related to the reception of the building to the Operations manager
Skills:
Proactive, flexible and detail-oriented
Ability to multitask and remain organized
Solid knowledge of generally accepted standards of customer service and conflict resolution
Excellent administrative skills
General proficiency in Microsoft Office Excel, Word and Outlook
Proficiency in Arc-en-ciel (data management and analytics) is preferred
Very strong communications skills: ability to communicate effectively both verbally and in writing, with the public, employees and students on a daily basis
English & French proficiency
