Executive Assistant
This is an exceptional opportunity to join our team as an Executive Assistant. The post holder will provide high-level, professional, and efficient executive support to the President, managing a wide range of administrative responsibilities.
Key duties include:
* Managing the President's diary and scheduling meetings, follow-ups, and appointments.
* Preparing materials and documentation for the President's meetings.
* Monitoring and responding to emails directed to the Office of the President.
* Drafting formal, high-level correspondence as required.
* Coordinating the President's travel arrangements.
* Organising and overseeing high-profile events, including visits from dignitaries, government ministers, and other VIPs.
* Supporting the planning and execution of Honorary Conferring ceremonies, including preparing guest lists, sending invitations, managing RSVPs, and other related tasks.
* Providing administrative support to the Director of Planning & Administration, as needed.
The ideal candidate will possess exceptional accuracy and strong attention to detail. They will also have demonstrated tact, professionalism, diplomacy, and the ability to maintain strict confidentiality. Proven experience in drafting high-quality correspondence, report writing, and meticulous proofreading is essential. Excellent communication and interpersonal skills are also required.
Additionally, the successful candidate will be proficient in the Microsoft Office Suite, including Word, Excel, PowerPoint, and SharePoint. Experience with Agresso (or similar financial/administrative systems) is also desirable. Familiarity with the third-level education sector, with a strong understanding of the Irish higher education landscape, is highly valued.
