Role Description

The Executive Assistant provides high-level administrative and operational support to senior executives, ensuring smooth management of schedules, communications, and strategic priorities. This role requires discretion, professionalism, and the ability to manage complex tasks in a fast-paced environment. The ideal candidate is proactive, detail-oriented, and capable of handling multiple priorities while maintaining confidentiality and efficiency.

Key Responsibilities

* Manage executive calendars, schedule appointments, and coordinate meetings, events, and travel arrangements.
* Serve as the primary point of contact between executives, internal teams, and external stakeholders.
* Prepare and edit correspondence, reports, presentations, and meeting materials with accuracy and professionalism.
* Handle confidential and sensitive information with discretion and integrity.
* Support project coordination by tracking deadlines, deliverables, and follow-up actions.
* Facilitate communication across departments to ensure alignment with executive directives and company objectives.
* Manage expense reports, reimbursements, and budget tracking for executive activities.
* Draft meeting agendas, record minutes, and summarize action points and decisions.
* Anticipate executive needs and proactively address potential scheduling or workflow conflicts.
* Organize and maintain electronic and physical filing systems for efficient document retrieval.
* Coordinate logistics for business travel, including itineraries, visas, accommodations, and transportation.
* Support HR and administrative initiatives such as onboarding, corporate events, and internal communications.
* Conduct research and prepare background materials to support executive decision-making.
* Maintain strong professional relationships with clients, vendors, and partners on behalf of the executive office.
* Ensure a professional and organized work environment aligned with company standards and culture.

Qualifications

* Bachelor's degree in Business Administration, Communications, or a related field preferred.
* 3–5 years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior leadership.
* Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
* Strong written and verbal communication skills with attention to tone, clarity, and professionalism.
* Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Google Workspace, Slack).
* High level of discretion and integrity in handling confidential matters.
* Ability to work independently, take initiative, and anticipate executive needs.
* Strong problem-solving skills and adaptability to changing priorities.
* Professional demeanor, positive attitude, and excellent interpersonal skills.
* Experience managing travel logistics, event coordination, and meeting facilitation.
* Knowledge of office management systems, reporting, and administrative processes.
