About The Role

We’re seeking a Studio Manager / HR Coordinator / Executive Assistant to support our team during a key period. This is a unique hybrid role where you'll ensure our Dublin studio runs smoothly, support HR coordination, and provide day-to-day assistance to our Co-founders.

You'll act as the welcoming face of &Open for visitors and employees alike, manage administrative operations, coordinate employee experiences, and serve as a reliable support to senior leadership. From managing calendars to keeping the studio kitchen stocked, you’ll help ensure that everything runs like clockwork.

This is a fast-paced, hands-on role—perfect for a motivated self-starter who enjoys working across people, operations, and processes.

This role is fully onsite at our Dublin Head Office.

What you'll do?

Studio & Office Management

* Be the face of &Open at our Harold’s Cross studio—welcoming guests and ensuring a positive on-site experience
* Manage studio operations: answer phones, respond to emails and post, maintain supplies and kitchen stock
* Liaise with external vendors and service providers to keep the office running smoothly
* Maintain office compliance including insurance, health & safety, and fire regulations
* Oversee facilities and ensure the studio reflects &Open’s brand and values

HR Coordination

* Support with recruitment logistics, onboarding, and offboarding of team members
* Maintain and update employee records in the HRIS system; manage user access and permissions
* Coordinate employee gifting (birthdays, anniversaries, etc.) and internal communications
* Liaise with payroll and benefits providers, and assist in processing HR documentation
* Assist with implementing and communicating HR policies and updates with external HR support
* Ensure HR processes remain compliant, accurate, and up-to-date

Executive Support

* Provide high-level EA support to our CEO and Co-founders: calendar management, travel booking, and meeting prep
* Coordinate leadership team schedules and ensure meetings are well-prepared and documented
* Take meeting minutes, follow up on action items, and maintain executive-level discretion
* Manage personal and professional tasks with a high level of organisation and confidentiality

What You'll Need

* 3+ years experience in office or studio management
* Experience supporting senior leaders in an EA capacity
* HR administration or coordination experience preferred
* Excellent communication, multitasking, and time management skills
* Strong attention to detail and a proactive, can-do attitude
* Comfort working in fast-paced and changing environments
* Proficiency with office applications (Google Workspace or Microsoft Office) and HRIS systems
* High integrity, professionalism, and discretion handling confidential information
