Job Description: Receptionist/Office Administrator Location: Rathcoole (own transport needed) would suit potentially if based in Naas, Saggart, Citywest, Kildare As a member of the team, you will be responsible for providing front office support & admin support at Head Office.
Hours Mon-Friday 8.30am-5.30pm Provision of a warm and professional front of house service.
Day to day operations of a busy office including dealing with incoming calls, emails and office queries from the team.
Developing and organising administrative activities Organising meeting invites.
Assistance with meeting refreshments Providing admin support to the Leadership team as required.
Deal with third party vendors/contractors/suppliers.
Manage office supplies.
Other ad-hoc duties as required Point of contact for ordering incidentals across the full site e.g. uniforms for new starters, smaller items required for premises Booking and arranging lunches as relevant for meetings and visitors Welcome visitors and ensure they follow correct procedures when on site Using a variety of software packages including the full Microsoft suite.
Booking transport and accommodation and arranging appointments for staff members.
Facilities organisation.
Diary Management.
Supervision of external cleaning operators Continually focus on performance management 3+ years experience in similar role.
Abilitytocommunicate both internally and externally to a high standard Strong organisational skills are essential Ability to influence a variety of stakeholders Abilitytoapplyintegrityandgoodpracticeacrossallactivitiesandinitiatives.
Skills: Demonstratebehaviour inaccordancewith BusinessEthicsandProtectionpolicyin all companybusiness dealings and decisions.
Abilitytoworkin a fast-paced environment handlingmultipletaskstakingownershipendto end.
Takes initiative, is a resourceful and innovative problem solver Self-motivatedandself-driven, possess excellentverbal andwritten communicationskills andenjoyworkingaspartof asmallentrepreneurialteam.
Advanced knowledge of full Microsoft suits Excel, word, powerpoint, outlook Provenabilitytomanagetimeandworkloads formaximumefficiency.
