Building a sustainable tomorrow
We are looking for an Administrator to join our Plant Department at Head Office in Kill, Co. Kildare. This is a permanent, full-time position with some hybrid working options.
The Administrator will be responsible for assisting the effective management of the Plant Department, offering assistance to all members of the administration team, and taking on relevant administration duties as required.
Responsibilities
1. Dispatch and return all plant and vehicles.
2. Assign vehicles and maintain records for BIK.
3. Organise vehicle maintenance, including booking NCT, DOE, and Tax.
4. Assist in the month-end procedure.
5. Manage maintenance documentation for vehicles, plant, and safety equipment.
6. Process and monitor orders, liaise with suppliers.
7. Perform general office duties such as filing, stock taking, and updating spreadsheets.
8. Issue invoices to internal and external customers.
9. Organise reporting and management of vehicle/plant maintenance and faults.
10. Provide reception cover during holidays and breaks.
11. Process invoices, ensuring correct matching to PO.
12. Reconcile creditor statements.
13. Book flights and accommodation.
14. Process credit card receipts and reconcile statements.
15. Enter data for goods received, delivery dockets, and invoices.
16. Prepare reports in Excel.
17. Maintain files, including filing and archiving.
18. Support and cover for team members as required.
19. Assist with administrative duties as needed.
Candidate Requirements
* Minimum of 2 years' experience in a similar role.
* Experience in Purchasing, Accounts Payable, or Operations is preferred.
* Excellent verbal and written communication skills.
* Ability to work independently and within a team.
* Ability to work in a fast-paced, deadline-driven environment.
* Strong organizational skills with attention to detail.
* High sense of urgency with the ability to prioritize and escalate issues.
* Motivated, professional, enthusiastic, flexible, with a 'hands-on' approach.
* Strong Microsoft Office skills, particularly Excel.
