Responsibilities:
* Perform an initial review of the documentation within the Request for Proposal (RFP) by the client focussing on tender instructions to identify time lines and tender deliverables.
* Participate in tender strategy meetings to assess if and how a qualitatively and timely satisfying tender can be developed.
* Coordinate the generation of different deliverables as set out in the tender documentation by collaborating with various contacts across the business.
* Coordinate the tendering interface towards the client by understanding and managing client expectations, submitting Requests for Information (RFI), answering client clarifications, leading the preparation of tender interview presentations as well as internal and external meetings using dedicated project management tools.
* Manage the pre-qualification towards the client by preparing answers on pre-qualification questionnaires with support of various stakeholders across the company.
* Post-submission, review and learn from the bid preparation of specific tenders to continuously improve processes, tender quality and submissions.
* Ensuring proposal documents follow company branding guidelines, standard formatting, and quality standards.
* Maintaining/creating all master document sets relevant for tendering team and multiple sectors, including professional profiles.
* Review, critique and challenge existing documentation and with a focus on continual improvement.
* Provide day-to-day support to the Estimating team and ensure Tender Management procedures are adhered to.
* Prepare translations of client-provided documentation using internal tools and in collaboration with translators.
* Other ad hoc duties which may be assigned by your manager.
Requirements:
* Experience in tendering of construction projects or sales assistance.
* Completed Bachelor Degree or Apprenticeship in either Electrical or Civil Engineering or Business Administration or Finance or similar academic background that demonstrates above mentioned requirements.
* Excellent organisational and interpersonal skills.
* Capturing and communicating key information provided by the client/colleagues properly.
* Keeping a diligent overview of tenders and being prepared to report on the status at all times.
* Ensuring due dates are met by reasonably prioritizing tasks.
* Escalating if the prioritisation or next steps are unclear.
* Being transparent, collaborative and approachable.
* Demonstrating flexibility and adaptability.
* Concise and precise communication.
* Behaving professionally towards colleagues, clients and H&MV's supply chain.
* Critical mindset to improve existing processes, tools, documentation, etc.
* Keen interest for the market H&MV is operating in and willingness to improve knowledge around technical/commercial topics .
* Computer literacy, IT literacy (MS Office, ideally project management tools such as MS Project, Zoho, …).
