The facilities assistant will support day-to-day facilities operations with a focus on safety, operational excellence, and customer and client satisfaction.
Job Responsibilities
1. Conduct daily rounds and monitor all M&E systems. Inspect meeting rooms and common areas to ensure readiness, report issues, handle cleaning and stock levels, check and restock stationery, and place weekly orders. Manage key boxes and issue keys for vital meetings.
2. Support office relocations and re-layouts, assist with PPM activities, and conduct energy, waste, and cleaning checks across the site.
3. Receive and move large/bulky items to designated locations.
4. Maintain the orderliness of open office areas.
5. Handle porterage of heavy parcels, equipment, and miscellaneous items.
6. Perform ad hoc tasks as requested by the FM Coordinator or Regional Facilities Manager.
7. Oversee the facilities assistant role within the center.
8. Manage couriers, mail, and postal activities.
9. Supervise third-party contractors, inspect their work post-completion, and maintain a visitors/contractors log, reporting incidents as necessary.
10. Execute emergency procedures for fire, flood, break-in, or accidents.
11. Ensure compliance with health & safety regulations, inspect signage, and advise on safety defects.
12. Maintain the fabric and finish of the site, ensuring it remains in good condition.
13. Act as the first responder for reactive tasks within the center.
Qualifications
1. At least 2 years of experience in a similar facilities role.
2. Excellent communication, interpersonal, and organizational skills.
3. Ability to communicate effectively both over the phone and face-to-face.
4. Strong planning and prioritization skills to manage multiple duties.
5. Proven ability to complete tasks accurately and timely.
6. Experience working in a fast-paced office environment.
7. Some experience in a lively mailroom environment.
8. Educated to Leaving Certificate Level or equivalent.
9. Proficiency in MS Office (Word, Excel, PowerPoint).
10. Basic understanding of health & safety practices.
11. Experience with mailroom equipment and international courier systems.
