About the Role


We are seeking a highly reliable, detail-driven Executive Assistant to support the founder of a fast-growing AI technology startup. This role blends executive support, research, content preparation, QA/testing coordination, and light outreach.

This position is ideal for someone who thrives in a structured, fast-paced startup environment, communicates proactively, and takes full ownership of tasks and deadlines.


Key Responsibilities


Executive & Operations Support

* Provide daily administrative, operational, and organizational support to the founder
* Manage schedules, follow-ups, and communications with precision and professionalism
* Communicate confidently with U.S.-based clients and partners via phone and video

Research, Content & Documentation

* Conduct online and AI-assisted research for presentations, proposals, and initiatives
* Create, edit, and organize polished PowerPoint presentations and business documents
* Assist in drafting, editing, and organizing grant proposals and technical documents
* Develop and maintain internal and client-facing training materials

QA, Web & Project Coordination

* Develop test scripts and test client tools/websites against specifications
* Document issues, coordinate fixes with developers, and confirm resolutions
* Maintain and update the company website (WordPress/Elementor) for accuracy and branding
* Track tasks, deadlines, and deliverables using Taiga

Sales & Social Media Outreach

* Send and manage outbound LinkedIn, email, or CRM outreach
* Engage professionally on LinkedIn on the executive's behalf
* Draft short posts, comments, and lightweight content aligned with executive voice


Key Qualifications

* Minimum 3 years of experience supporting C-suite executives, founders, or startup leadership (US-based clients required)
* Exceptionally detail-oriented, self-driven, and highly organized
* Strong experience with MS Office (PowerPoint, Excel, Word)
* Hands-on experience with WordPress / Elementor, Canva, and LinkedIn
* Active daily use of AI tools (ChatGPT or similar) for research and content creation
* Experience with social media outreach and CRM-based messaging
* Prior experience using Taiga for task or project tracking
* Excellent written and spoken English
* Stable high-speed internet and professional home office setup


Bonus (Nice to Have)

* QA/testing coordination or client deliverables experience
* Prompt engineering or advanced AI workflows
* Zapier or automation tools
* CRM or client management platforms
* Grant writing or technical documentation experience
