Logistics and Office Coordinator (GMP Medical Devices)

We are seeking a Logistics and Administrative Coordinator to join our Medical Device Client, a GMP-accredited manufacturer. This hybrid role involves logistics coordination and general office administration. The successful candidate will manage domestic and international shipments, ensure regulatory compliance, and support the R&D team's daily administrative tasks.
Responsibilities
1. Arrange and coordinate domestic and international shipments, including booking, documentation, and tracking.
2. Prepare and verify shipping documentation such as commercial invoices, packing lists, and customs declarations.
3. Ensure all shipping activities comply with regulatory standards (e.g., FDA, MDR, ISO 13485).
4. Liaise with freight forwarders, couriers, and customs brokers to ensure timely and compliant deliveries.
5. Maintain accurate shipping records and support audits and inspections.
6. Track and monitor shipments, proactively resolving delays or issues.
7. Provide administrative support to the R&D team, including document management, meeting coordination, and vendor communication.
8. Assist with onboarding logistics for new team members and support general office operations.
9. Collaborate with cross-functional teams including Quality Assurance, Regulatory Affairs, Procurement, and Customer Service.
10. Identify and implement process improvements in logistics and office operations.
11. Perform other duties as directed by the manager or as required to support the business.
Qualifications
Requirements
1. Bachelor's degree in Logistics, Supply Chain Management, Office Administration, Business, or a related field.
2. Minimum of 1 year of experience in logistics, shipping, or office administration, preferably within the medical devices, pharmaceutical, or healthcare sector.
3. Understanding of shipping regulations, documentation, and international trade compliance.
4. Familiarity with quality and regulatory standards such as ISO 13485, FDA 21 CFR Part 820, and GDP.
5. Strong organizational, analytical, and communication skills.
6. Excellent attention to detail and problem-solving skills.
7. Proficiency in Microsoft Office.
8. Ability to manage multiple priorities and work effectively under pressure.
