Job Title: Senior HR Administrator
Location: HQ Parkmore, Galway
Reports to: HR Operations Business Partner
Key Objective: The Senior HR Administrator will support the HR Team in the creation, preparation, and maintenance of employee records, ensuring accuracy and compliance across all HR processes. This role operates across our Retail, Oil Distribution, and Franchise Brands businesses, providing essential support to the HR Ops Team in managing our workforce of over 1,200 employees.
Principal Duties:
* Employee Records & System Maintenance: Maintain the HR information system (TMS), ensuring all employee documentation kept up to date.
* Reporting: Generate reports for managers on employee turnover, absences, and other information as needed, including training dates. Prepare ad-hoc reports as requested by the business.
* Recruitment Administration: Monitor recruitment activity, forward CVs to hiring managers, gather feedback, and communicate with applicants as necessary.
* Employee Queries: Serve as the first point of contact for employee questions, referring issues to HR Operations Partners when appropriate.
* Policy Guidance: Direct employees to relevant policies and procedures.
* Job Advertising: Advertise approved opportunities through agreed channels.
* Interview Coordination: Arrange interviews by coordinating with managers and confirming details with applicants. Prepare offer letters and employment contracts for successful candidates.
* Onboarding: Complete relevant pre-employment checks and gather outstanding documents to finalize the onboarding process. Create new starter records in TMS and support new hires as their first point of contact.
* Leaver Administration: Acknowledge resignations, formalize leaving arrangements, update TMS, confirm end dates, calculate holiday entitlement, and organize the return of company property.
* Terms and Conditions: Implement approved changes to terms and conditions, communicate these to employees, obtain consent when necessary, and update the TMS.
* HR Initiatives and Systems: Provide administrative support for new initiatives like performance management, learning and development, and employee engagement.
* Retail Site Integration: Support the onboarding process for new employees & new sites, with guidance from the HR Operations Partner.
What You'll Need to Succeed:
* A minimum of 3 years of solid HR experience.
* Competency in Microsoft Word, Excel, and PowerPoint.
* Strong attention to detail.
* Effective time management skills.
* Ability to work to tight deadlines and perform under pressure.
* Respect for confidential and sensitive information.
* Team player mentality.
* Strong knowledge of Irish employment law and HR best practices.
* Experience with HR systems. (One Advanced, Power BI Systems, Recruitee )

Pay: €32,000.00-€35,000.00 per year
