Title: Quality Assurance Specialist Department: RCSI Surgical Affairs Tenure: Full time - Permanent Location: 121 St. Stephen's Green, Dublin 2 Reporting to: Quality Assurance and Regulatory Affairs Manager Closing Date: 23:45pm on Thursday 13th of November About the post: The principal objective of the post is to provide leadership support and executive functions in the development of the RCSI Surgical Affairs Quality Assurance & Regulator Affairs systems, to ensure on-going enhancement of our quality management systems, and all underpinning business processes. The scope of the role of the Quality Assurance Specialist includes all relevant postgraduate medical/surgical education and training programmes offered by RCSI Surgical Affairs and its partners across the wider RCSI community. It is expected that the post-holder's role and executive functions will help to improve: Our Trainees' learning experience. Our Trainer engagement and support. Our relationships with Trainees and Trainers. The reputation and overall standards of Surgical and Emergency Medicine training. Specific Responsibilities Lead and support of the QA processes for all Surgical Affairs activities and business functions Development of process maps, QA Check Lists, Schedules, and other QA documents. Coordinate with process owners on the completion of QA Check Lists. Engage with DOSA teams to conduct QA steps on business processes. Testing data accuracy and spreadsheet integrity. Assist with the training of junior members of the team, where appropriate. Support the ongoing development and management of our Quality Management System, including: Leading the development, revision, and enhancement of policies, procedures, and guidelines. Development of Quality Improvement Plans. Document Management (templates, version control, etc.). Producing reports from Q-Pulse and other related accreditation systems and processes. Administration of audit and risk management modules as required. Logging and following up on: continuous improvement actions and ideas committee action items outputs from external audits, accreditation processes, surveys etc. Data Analytics Collation and formatting of data into databases and spreadsheets. Basic data manipulation and development of formulas. Basic statistical analysis using mean, median and standard deviations. Presentation and interpretation of data using basic statistical tools such as box plots, histograms, pie charts, Minitab, etc. Lead on Audit and Accreditation System Support the ongoing revision of our quality standards. Managing internal/external accreditation and audit activities. Lead the administrative functions associated with audit/accreditation reports and documentation. Manage post-visit/inspection activities. Support the Medical Council Accreditation Process and related Regulatory Affairs requirements. Policies, Procedures and Guidelines Support the development of policies, procedures, and guidelines. Carry out research on best practices in the areas of Quality Assurance, Regulatory Affairs, Governance, and Compliance. Required Competencies and Experience The ideal candidate must demonstrate proven experience of working in a Quality Assurance role within healthcare, education or similar regulated sectors. Required Competences and Experience QA/QC: Strong hands-on knowledge of Quality Assurance or Quality Control in a regulated sector. Compliance: Proven experience in compliance activities including CAPAs, Change Control, and Deviations. Regulatory Affairs: Exposure to regulatory audits and interactions with Health Authorities is highly desirable. QI: A proactive mindset with a passion for quality improvement and operational excellence. Ability to develop and implement quality control and assurance processes Standards: Strong working knowledge of internationally recognised quality assurance standards or methodologies Data analytics: Enjoys working with data/numbers and has data analytics and report writing skills. Customer Focus: Have strong internal and external customer service skills. Desirable Competences and Experience Experience of working on Lean or Process Improvement projects and or be Lean Six Sigma Green Belt Certified Experienced in the use of data analytics tools and software (Minitab, Tableau, Microsoft SQL, etc.). Experience in feedback analysis (Survey Monkey, Qualtrics). Proficiency in the use of Microsoft Office, including Microsoft Dynamics CRM. Experience in the use of Quality Management Systems (e.g., Q-Pulse). Experience in the use of website Content Management Systems.
