The role
Accounts Payable Administrator
Reporting to the Finance Manager, the Accounts Payable Administrator will be responsible for managing the end-to-end accounts payable function, ensuring supplier invoices are processed accurately, payments are made on time, and financial records are maintained to the highest standards.
The successful candidate will have experience working with high-volume transactions, multi-currency accounts, and international suppliers. This role requires strong proficiency in Irish construction tax compliance (RCT) and international trade reporting (Intrastat), alongside exposure to foreign VAT processes.
Key Responsibilities

Process high volumes of supplier and subcontractor invoices accurately and efficiently.
Manage subcontractor ledger reconciliations and ensure strict compliance with Revenue guidelines.
Process RCT (Relevant Contracts Tax) payment notifications and lookups via ROS accurately and timely.
Compile, reconcile, and submit timely Intrastat returns for cross-border goods movements.
Match invoices to purchase orders and goods received notes, ensuring appropriate approvals are obtained.
Verify invoice coding and ensure compliance with company procedures and controls.
Prepare and process weekly and monthly supplier and subcontractor payment runs.
Reconcile supplier statements and investigate and resolve discrepancies promptly.Maintain accurate supplier/contractor account records and master data.
Respond to supplier and subcontractor queries in a professional and timely manner.
Monitor aged creditors and ensure timely resolution of outstanding items.
Process and reconcile transactions across multiple currencies, ensuring accurate exchange rate application.
Support the administration and reconciliation of foreign VAT and assist with VAT reclaim processes where applicable.
Liaise with suppliers, internal departments, and external advisors regarding VAT, RCT, and international payment queries.
Assist with month-end close activities, including accruals, subcontractor provisions, reconciliations, and reporting.
Support internal and external audit requirements by maintaining complete and accurate records.
Identify opportunities to improve accounts payable processes and controls.
Provide general administrative support to the Finance team as required.

Skills & Experience
Essential

Minimum 2–3 years' experience in an Accounts Payable, Finance Administration, or similar finance role.
Direct experience handling RCT payment notifications and subcontractor compliance within the Irish construction/engineering sector.
Practical experience preparing and submitting Intrastat returns for international trade.
Knowledge of foreign VAT recovery processes and cross-border VAT requirements.
Familiarity with reverse charge VAT mechanisms and international tax compliance requirements.
Strong understanding of accounts payable processes and financial controls.
Experience processing supplier invoices and payments in a high-volume environment.
Experience working with multiple currencies and international suppliers.
Excellent attention to detail and accuracy.
Strong organisational and time-management skills.
Proficiency in Microsoft Excel and Microsoft Office applications.
Ability to work independently and as part of a collaborative team.
Strong communication and interpersonal skills.

Desirable

Experience within the engineering, construction, manufacturing, or project-based sectors.
Experience using ERP or accounting systems such as Sage, SAP, Microsoft Dynamics, COINS, Oracle, or similar.
Accounting Technician qualification or relevant finance qualification.
