Job Overview:
My client is looking for a proactive and organised individual to help support smooth communication and coordination between the CEO, local managers, and the wider management team. This is a varied role with a mix of admin support, project coordination, and relationship management.
What you'll be doing:
Help manage the day-to-day connection between the CEO and local managers to keep communication clear and consistent.
Keep team calendars up to date and handle the organisation of meetings, calls, conferences, and travel plans.
Support the link between the national governance team and senior managers, providing top-notch admin support when needed.
Keep an eye on key performance indicators (KPIs) across different teams and communities, and help track and report on them.
Attend and actively contribute to senior management meetings while supporting the admin side of things.
Help build and maintain good working relationships with external partners and stakeholders to support the services we deliver.
Assist with completing important documents and reports, especially those needed for agreements with the HSE.
Provide admin and operational support to the Head of Services in delivering on strategic plans and initiatives.
Get involved in change management projects and help roll them out smoothly.
Keep contact lists, databases, and filing systems up to date and organised.
Help manage property maintenance projects, facility contracts, and any capital projects for the national office alongside the CEO.
Provide general support in areas like IT, procurement, and capital development projects when needed.
Take on projects as assigned by the CEO.
Offer admin support to the Chairperson and help prepare documents for board meetings and official submissions.
Support with organising events and meetings as required.
Maintain records such as attendance logs, stats, and annual returns, and pull together other information as needed.
Assist in researching and gathering documentation for legal cases or employment issues when they arise.
Requirements:
Min of 2 years experience working as an EA to CEO in a Charity organisation.
You will require a strong business acumen.
Ideally a degree / masters in Business.
