Personal Assistant to Director - Administrator (Maternity Cover)
Location: One day per week in the office, four days remote
Contract: Fixed-term, full-time (approx. 8 Months)
Working Hours: 9:00am – 5:00pm, Monday to Friday
Salary: €35,000
We are seeking a proactive and organised individual for maternity cover as a Director's PA and office/purchaser/accounts assistance, reporting directly to the Financial Controller. This role combines executive support for the Director, requiring discretion, attention to detail, and excellent organisational skills. The successful candidate will be a support to the Company Director and the finance team, interlinked companies, manage property administration and legal teams.
Key Responsibilities
* Provide personal assistant support to the Company Director, including diary management, meeting coordination, correspondence, and travel arrangements.
* Serve as first point of contact for managers, clients, and visitors.
* Draft proposals and other documentation as required.
* Oversee purchasing within the group, liaising within the finance team on invoices, payments, and other administrative matters.
* Coordinate and support activities across interlinked companies within the group.
* Ensure compliance with health and safety regulations.
* Assist with property management, including liaising with clients, property managers in Dublin, and service providers, and coordinating maintenance.
* Liaise with the legal team on administrative and compliance matters.
* Organise meetings, events, and staff communications.
* Maintain company databases, filing systems, and documentation.
* Liaise with IT and facilities providers as needed.
* Manage company vehicle compliance, including tax, NCT, CRVT, and insurance.
* Ad-hoc duties when required.
