Title: Operations and Quality Administrator for the Consultancy / R&P Team
Reporting to: Consultancy Director
Introduction:
This is a staff position reporting directly to the department Director. The successful candidate will assist with the administration support required to run the consultancy and R&P departments effectively and commercially.
Main purpose of the position:
This is an administration support position and requires the appointee to be flexible at all times. While the departmental Director has full ownership for the management and commercial performance of the department, the administrator’s role is to pro-actively support the manager in fulfilling these performance criteria. The successful applicant will be required to co-operate and liaise with the existing administration team and department personnel to carry out the day-to-day administration of the H&S Consultancy / R&P departments (on a 80/20% time ratio basis) in the most effective way possible.
Duties and Responsibilities
The following is a non-exhaustive list of the main duties and responsibilities include:
* Effective operation and maintenance of all software systems Zoho CRM, Zoho Projects etc.
* Ensuring work is quoted, administered and invoiced efficiently and accurately
* Supporting quote, tender and prequalification preparation and meeting of deadlines
* Supporting completion of weekly reports, updating of KPIs and dashboard for the department
* Administering department documentation, templates and report formats
* Supporting the consultancy team with document preparation and information gathering
* Ensuring new staff and contractors complete induction process
* Assisting the manager in oversight and co-ordination of contractors providing services on behalf of the company
* Supporting the department’s requirements in relation to the Integrated Management System (Quality, Environment and OH&S)
* Other administrative functions as directed from time to time
The Candidate
The candidate will preferably will:
* Be an experienced administrator with 2 years plus commercial business experience
* Be a good communicator, familiar with dealing with customers, contractors and staff.
* Possess strong computer and literacy skills
* Have good attention to detail and planning skills
* Be capable of working both under their own initiative and as part of the consultancy team
