Shift Pattern :
Monday - Friday (Variable start and finish times – 8 am/9 am/11 am needs to be flexible)

Job description

* Support Front of House duties
* Support the WPM with the delivery of the contractual services.
* Support with the oversight and support of the inhouse CAFM system.
* Assist in the management of third-party vendors ensuring agreed SLA requirements are maintained.
* Support the WPM with client staff induction and orientation.
* Coordination of training for client staff, fire marshal and first aid.
* Landlord liaison.
* Cleaning audits.
* Office Supplies – ordering and management, stocking copiers, etc.
* Mail and courier operations.
* Meeting room set up / manage booking of rooms.
* Ordering catering for meetings/events.
* Workplace experience activities to support CSR initiatives.
* Organise and support engagement activities i.e. calendar events such as St Patrick's Day, Easter, Christmas etc.
* Manage and support the delivery of small works projects and move and changes within designated areas.
* Logistics support.
* Assist the WPM with the update & delivery of weekly/monthly reports.
* Communication/briefing to wider client team
* PO and invoice management.
* Ad-hoc duties as required by the business.
* Support with all health & safety requirements on site.
* Liaise closely with all contractors and keep the site reports and health & safety files in good order.
* Delivery of building inspection audits and QA reporting using the available tools.

Person:

* Excellent eye for detail.
* Enthusiastic and focussed.
* A high-level focus on the achievement of targeted results; a sense of urgency when required.
* A high level of flexibility and a positive attitude to innovation and change.
* A demonstrated commitment to the on-going success of the business.
* Excellent communicator, able to quickly build relationships with others.
* People person – team player.

Qualification required

* Computer literate – good Excel, Word and PowerPoint skills.
* Good general level of education, preferably to higher education level.

Experience Required

* Three years + Administration Experience.
* Hotel background an advantage.
* Strong customer and client focus.
* Supplier management.
* Ability to interface across all levels of the organisation.
* Excellent written and verbal communication. Excellent presentation and negotiation skills.
* Experience managing multiple contractors ensuring no impact to daily operations.

HSEQ responsibilities

* Understand how ISO fits into daily business operations.
* Read, understand and work in accordance with the company's HSEQ Policies.
* Complete tasks in accordance with company HSEQ procedures and work instructions.
* Support the implementation, operation and continuous improvement of our HSEQ Management Systems at site level.

Other Features of the Job

It may be necessary to work alternative hours, shift patterns or unsociable hours, including weekends/Bank Holidays and sometimes more than contracted hours. Local requirements will govern your patterns of work and travel to different locations may be required. A uniform will be required/worn.
