EXTERNAL / INTERNAL COMPETITION Applications are invited for the following position within the PATIENT SERVICES DEPARTMENT in the Rotunda Hospital Ref No: ******** Grade IV Administrative Assistant Physiotherapy Department, Permanent, Job-Share Patient Services Department We are currently looking to hire a Grade IV Administrative Assistant to join our Patient Services team here in the Rotunda Hospital.The successful candidate will be working alongside a team of dedicated professionals.
Under general supervision and following established policies and procedures, you willprovide comprehensive administrative support to the area assigned and as directed.
The successful candidate will be required to deal effectively with requests and queries and provide clerical support in the area assigned within Patient Services.
We may create a panel of future candidates from this competition.
Based in the City Centre and on the grounds of the oldest continuously operating maternity hospital in the world, you will have the opportunity to work with colleagues across all professional disciplines and become part of the Rotunda family.
Key Responsibilities: Supervise staff directly under your remit and as appropriate to the Job outline of the post.
Deal with operational activities under the general direction of the Grade V. Supervise administrative duties, procedures and practices that are undertaken by staff in area of responsibility.
Plan, organise and co-ordinate cover for colleagues and co-ordinate leave as requested.
Determine the operational requirements and ensure that these requirements are fulfilled in terms of systems and resources.
Assist in the formulation of Standard Operating Procedures for the area and also for other areas as assigned.
Ensure relevant weekly Key Performance Indicators are achieved and recorded.
Assist in the implementation of the national mandatory OP Improvement Plan.
Assist in the implementation of the mandatory national Protocol for Management of OP Services.
Identify the training needs of clerical/administrative staff in the area and assist in the training as required to ensure their duties are carried out effectively.
Take responsibility for appropriate and timely clinics reconciliation as assigned, including MPTLs weekly.
Assist with the roll out of iPMS functionality to improve service provision e.g. OP Waiting Lists, ensure all Waiting Lists are monitored and maintained in the uniform format on daily basis.
Develop and improve on communication channels with clinical colleagues.
Develop and improve on communication channels with patients and general practitioners who avail of the Obstetric OP services and related areas.
Assist in the orientation & training of new staff within the area.
Ensure Patient information and documents are continually held in safe custody and legal requirements and hospital directives are maintained.
Take responsibility for the accuracy and integrity of manual and computerised data entered by staff at point of registration.
Assist with telephone queries, appointment scheduling and OP Waiting List initiatives.
Provide regular and ad-hoc reports / information as required.
Collation of statistics and reconciliation of clinics as defined by area SOPS.
Participate on relevant hospital committees when required such as Outpatient Services Management Group (OSMG), OPD patient safety meetings etc.
Provide and co-ordinate locum cover for departmental administrative staff as required.
Promote and develop channels of communication within the multidisciplinary team.
Undertake training and development activities consistent with the position.
Other duties appropriate to the post as assigned from time to time.
Skills, competencies and/or knowledge: Excellent organisational skills and attention to detail Awareness / sensitivity towards patients needs Performs their duties in a manner which is conductive to harmonious team-based intra and inter-departmental relationships.
