This role is central to ensuring our assessment corrections, internal verification (IV), and peer review processes are completed accurately, on time, and in full compliance with ETB requirements.
Role Summary:
As the Assessment QA & Compliance Coordinator, you will own and coordinate the end-to-end quality assurance process for assessment corrections and returns. You will work closely with tutors, internal verifiers, and peer reviewers to ensure deadlines are met, evidence is complete, and all QA milestones are accurately maintained in Moodle and project trackers.
This is a high-detail, documentation-heavy, fully digital role. Success depends on your ability to keep systems clean, spot gaps early, ask the right questions, and maintain an audit-ready trail of evidence.
Key Responsibilities:
Assessment QA Coordination (Corrections & Returns)
* Coordinate the QA process for all assessment corrections, ensuring corrections are submitted, reviewed, and returned within agreed timelines.
* Maintain a live tracker of assessment status, deadlines, and evidence completion across tutors/IV/peer review.
* Follow up proactively with tutors and reviewers, escalating risks to deadlines early and clearly.
Internal Verification (IV) & Peer Review Process
* Coordinate the IV process end-to-end, ensuring compliance with awarding body and ETB assessment regulations.
* Book, brief, and manage peer reviewers; ensure peer review activity is completed on schedule and evidenced correctly.
* Maintain strong working relationships with tutors, IVs, and peer reviewers, ensuring consistent standards and communication.
Moodle Evidence & Compliance Records
* Maintain accurate assessment records and QA milestones in Moodle, ensuring the evidence trail is complete and audit-ready.
* Ensure all assessment milestones, documents, and records are uploaded, named, and stored consistently.
* Produce or support the production of compliance packs/evidence sets as required for ETB deadlines and audits.
Training Team Collaboration & Continuous Improvement
* Conduct tutor briefings on assessment corrections and QA requirements (including common errors and required evidence).
* Support the wider training team to meet organisational goals by improving consistency, reducing rework, and strengthening QA systems.
* Identify process gaps and contribute to improvements in templates, SOPs, checklists, and trackers.
Other
* Carry out other assessment-related activities as required.
Day-to-Day (What You'll Actually Be Doing):
* Checking live trackers daily and chasing submissions/returns to keep everything moving.
* Verifying that corrections/IV/peer review evidence is complete, correctly filed, and compliant.
* Troubleshooting Moodle workflow issues (permissions, submissions, exports, reporting, evidence capture).
* Maintaining clean documentation: naming conventions, version control, consistent records.
* Running short briefings with tutors to prevent repeat issues and improve quality.
Requirements:
· Demonstrated experience coordinating assessment, compliance, QA, or operational processes in a regulated environment (education/training, certification, governance, audit, or similar).
* Strong digital capability with Moodle assessment workflows, such as:
* managing submissions and feedback cycles
* gradebook/marking workflows
* reporting/exporting evidence
* managing groups, roles, access, and permissions (as a power user)
· Excellent attention to detail, able to spot missing evidence, inconsistencies, and process gaps quickly.
· Strong organisational and project coordination skills: can manage multiple priorities, deadlines, and stakeholders simultaneously.
· Confident communicator who can follow up firmly and professionally to keep work on track.
· Comfortable with documentation, trackers, SOPs, and maintaining audit trails.
