* Position: Legal Administrator
* Reporting to: Legal Operations Supervisor
* Location: 159-161 Upper Sheriff Street, Dublin 1
* Contract: Permanent – Parttime – 20 hours over 5 days
* Salary: €28,090 - €38,623 pro rata
Role Overview
The Legal Administrative Assistant is responsible for the provision of administrative support to the in-house legal department. This role facilitates the existing administration team enable the legal team to focus on delivery of the legal service by ensuring that the team has the administration support required. The role requires excellent planning and organisation skills, a dedication to detail and an ability to identify and adapt to the changing needs and priorities of the team. The role involves a range of duties including but not limited to; general office administration support to the Legal Team, document management, data entry and data management and liaising with both internal and external stakeholders.
Key Responsibilities
* Provide general office administration support to the In-House Legal Department as required including but not limited to; general office administration support, post, query management, document management, data entry and data management, keeping the office daily workbook up to date and liaising with both internal and external stakeholders.
* Assuming responsibility for the Legal Teams stationery order and ensuring levels are reviewed each month and orders placed accordingly, particularly during busy periods.
* Maintain an active awareness of the programme of work underway within the legal team.
* Assist the team in following up on post completion packs from Clúid external solicitors and ensuring these are uploaded to our shared drive.
* Prepare, maintain and manage a log of all Property Registration Authority queries and follow up with solicitors to ensure that action is taken within an adequate timeframe to ensure registration of Clúids title.
* Assuming responsibility for records management for the Legal Team, boxing up files, numbering and labelling boxes, ordering supplies and retrieving/returning boxes as required on an ad hoc basis.
* Maintaining the hard copy filing system of original funding agreements, Leases etc.
* Scanning documents and assigning to the Legal Document Management System.
* Filing & document management - ensuring that electronic and hard copy filing is up to date, adhere to the file review, closure & retention process, ensure all open and in-active matters are reviewed and closed as appropriate.
* Assisting the Legal Secretary with designated sealing days for signing and sealing of all documents across the business.
* Maintaining strong relationships with external stakeholders including external solicitors and Local Authorities.
* Scheduling of Title Deeds.
* Assisting the Legal Operations Team on ad hoc projects as they arise.
* Identifying improvements/amendments to administrative systems & procedures and working to implement these.
* Adopt an approach of continuous learning and personal development and attend / request training appropriate to your role.
* To positively promote the Association in all activities.
* Any other duties which are consistent with your role.

Essential Skills & Qualifications
* Certificate/Qualification in Secretarial/Administration.
* Minimum 2 years experience in an office environment.
* Experience in document management and filing systems.
* Use of a Legal Case Management System.
* Proven experience with Microsoft Office, Excel, PowerPoint.
* Data Management, including entry, understanding, organising, and interpreting.
* Excellent time management demonstrating the ability to manage a busy workload and meet required deadlines.
* Excellent organisational skills with strong attention to detail.
* Dealing with customers both internal and external.
* Experience in working in risk and compliance.
