This is a full-time hybrid role for an Event Officer located in Dublin, with some work-from-home flexibility. The Event Officer will manage and plan events, coordinate event details, liaise with participants, handle customer service inquiries, and manage event budgets. Responsibilities include organising logistics, vendor negotiations, ensuring smooth event execution, and post-event reporting and analysis.
Job Summary
The Events Officer will:
* Support duties of the Senior Events Manager as assigned.
* Work within the Events team on the yearly International Conference and regional and local events.
* Assist the Knowledge Team in creating effective campaigns for the annual conference and regional and local events.
Event Duties
Coordination of ISQUA Events
Work with the Senior Events Manager to:
* Administer all events within agreed budgets and timeframes.
* Prepare reports for the event programme committee and ISQua Board.
* Arrange internal and external meetings for all event-related matters.
1.Yearly International Conference
* With the Senior Events Manager, coordinate and communicate with all speakers, abstract reviewers, chairs, and poster judges for the yearly international conference, regional and local events.
* Manage the annual conference app (online programme) at every stage of the process from implementation to launch.
* Prepare agendas and minutes for the Scientific Programme and Local Planning Committees.
* Prepare evaluation reports for the ISQua CEO and ISQua Board.
* Review and analyse data provided by the Professional Conference Organiser (PCO).
* Work with the Knowledge team to cultivate the overall events marketing strategy.
* Support the coordination of venue management, caterers, stand designers, AV contractors and other external providers as instructed by the Head of Operations and Senior Events Manager.
* Support the event partners and PCO as instructed by the Senior Events Manager.
* Assist in the setup of abstract and registration online sites via the PCO.
* Support ISQua’s overall conference, regional and local events strategy.
2.App, Information Technology and Website
* Prepare and manage the annual conference app.
* Ensure the ISQua website is updated with all conference and event-related matters.
* Ensure that the email distribution contact list is regularly updated.
* Ensure all information is collated and accurately communicated to website partners.
* Upload recordings to the ISQua resources portal on the ISQua website.
* Organise and facilitate virtual events (including webinars)
Qualifications
Event Planning and Event Management skills
Strong Communication and Customer Service skills
Experience in Budgeting and financial management
Excellent organisational abilities and attention to detail
Ability to work both independently and as part of a team
