Rásaíocht Con Éireann / Greyhound Racing Ireland (GRI) is responsible for the promotion, regulation, and ongoing commercial development of the greyhound industry in Ireland. The care and welfare of greyhounds are central to our mission and to the industry as a whole.
We are now seeking a Regulations & Welfare Administrative Assistant to join our Regulations & Welfare team. This is a key role supporting our organisation-wide approach to greyhound care and welfare across all areas of activity.
Role Overview
The successful candidate will provide comprehensive administrative support to the Regulations & Welfare Department, ensuring queries are dealt with promptly, records are maintained accurately, and all departmental needs are met efficiently.
This role requires a strong combination of administrative ability, organisational skills, and excellent interpersonal communication.
Key Responsibilities and Duties:
Staff & Resource Coordination
* Organise cover for leave for Control Stewards, Racing Managers, and Stipendiary Stewards.
* Schedule and coordinate racing sampling teams in consultation with the Regulations Department.
* Maintain and update employee leave records.
Licensing & Compliance Administration
* Process trainers' applications and prize money designation forms.
* Liaise with Stipendiary Stewards and authorised Welfare Officers regarding kennel inspections.
* Input and update trainers' data on the Race Management System (RMS).
* Maintain complete files for all trainers and ensure monthly returns are received on time.
Data Management & Reporting
* Log sample dockets by track/number (approx. 5,000 samples per annum, with nine entries per sample).
* Generate reports and communicate negative results to the tracks.
* Assist in managing the Traceability helpline, responding to queries and supporting the development and management of RCETS.
General Administration
* Handle telephone queries regarding trainers.
* Support with filing, photocopying, binding, and other office administration tasks.
* Ensure reports on racing/trials, race cards, and other documentation are received from Stewards in a timely manner and filed in track order.
* Maintain stock of sampling equipment/forms and distribute to Stewards as needed.
Compliance & Additional Duties
* Adhere to all GRI procedures, including statutory requirements for Fire Safety, Health & Safety, hygiene, and internal audits.
* Provide leave cover in other departments when required.
* Carry out any other reasonable duties as assigned by management to meet business needs.
