The role
This role serves as the central contact for patient support programmes, delivering high-quality customer service while coordinating SAP-managed material orders and the delivery of prescribed medications. It ensures compliance with quality standards through accurate reporting, documentation, and SOP management, supports continuous improvement and complaint resolution, collaborates with internal stakeholders, contributes to training and business objectives, and manages routine reporting and administrative duties.
Key Responsibilities:
Be the main point of contact for service referrals & day to day interactions & queries for specific patient support programmes.
Ensure the provision of a continuous high level of customer service.
Ensure material orders are managed and coordinated using SAP to ensure a timely and accurate delivery.
Coordinate the delivery and dispensing of prescribed medications and associated ancillaries which will involve close collaboration with various other departments.
Accurately report details of Adverse Events, Product Complaints and/or Clinical Incidents as per company policy.
Ensure complete accuracy at all times, minimising the impact of error.
Prepare weekly, monthly, quarterly & annual reports and/or reviews as required.
Work with internal departments/colleagues to resolve problems, facilitate solutions and enhance customer service offerings.
Build & maintain strong working relationships with all relevant stakeholders.
Update, review & approve Standard Operating Procedures, Work Instructions and Quality related documentation as required.
Offer input & suggestions as to how policies & procedures could be further developed/improved upon.
Lead & participate in customer complaint investigations as required, to include prompt & efficient follow up.
Acknowledge & understand the appropriateness to escalate as required.
Participate with the implementation of induction and routine service training for new and existing employees.
Contribute towards department objectives in line with the overall business strategy.
Deliver and exceed on agreed targets as set by your line manager.
Undertake day to day filing & general office administration.
Perform any other duties as required based on company needs.
Qualifications & experience :
* Basic understanding of quality and compliance requirements, including reporting issues and complaints.
* Experience using SAP or similar systems for orders and materials.
* Strong attention to detail and accuracy.
* Good communication skills and a professional approach.
* Ability to work well with internal teams to solve problems.
* Experience creating regular reports.
* Ability to follow and update procedures and documentation.
* Good organisation and time management skills.
* Confidence handling customer complaints and escalating when needed.
* Willingness to support training and service improvements.
* Comfortable with general office administration and IT systems.
