Overview
We’re seeking a highly organised and detail-oriented Senior Project Coordinator to support two dynamic project teams for our leading Pharma client - one managing portfolio and manufacturing projects, and the other overseeing large-scale expansion initiatives. This role is key in coordinating project delivery, supporting reporting activities, and maintaining a high level of professionalism as the on-site point of contact for internal and external stakeholders.
The ideal candidate will be proactive, professional, and capable of working independently in a fast-paced environment. This position offers an opportunity to take ownership of processes, drive team engagement initiatives, and contribute to the continuous improvement of project coordination practices.
Key Responsibilities
* Coordinate and report on project portfolio activities through the Capital Project Management process, maintaining the project repository on SharePoint.
* Support “Procure to Pay” processes, including raising purchase orders and managing invoice logging and approvals.
* Provide contract and administrative support to the Project Management team.
* Organise and coordinate meetings, including logistics, travel arrangements, and preparation of presentations or slides.
* Collate project progress and safety updates from Project Managers and compile regular reports for leadership and stakeholders.
* Manage event organisation and on-site communications, acting as the professional point of contact for visiting clients and teams.
* Develop and distribute team surveys to identify improvement opportunities and collaborate with Project Managers to implement enhancements.
* Ensure compliance with all environmental health and safety regulations, contributing to a safe and efficient work environment.
Key Skills & Experience
* Minimum of 3 years’ experience in a project coordination, administrative, or operations support role.
* Strong organisational, analytical, and reporting skills with exceptional attention to detail.
* Proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word); SharePoint experience preferred.
* Excellent written and verbal communication skills with the ability to liaise effectively across teams and with clients.
* Professional, reliable, and confident in representing the team to stakeholders on-site.
* Self-starter who can work under minimal supervision while maintaining accuracy and quality.
* Collaborative team player with excellent interpersonal skills and the ability to build relationships at all levels of the organisation.
* Ability to adapt to changing priorities and work effectively across multiple projects.
