Job Summary: The Front Office Agent acts as a primary touchpoint for guests, driving a seamless arrival-to-departure experience that reflects the service culture of The Grace Westport Estate.
This role manages day-to-day front desk operations, ensuring each interaction is delivered with warmth, accuracy, and professional polish.
By coordinating closely with internal teams and maintaining an organised, guest-ready environment, the Front Office Agent supports operational continuity while elevating overall service delivery across the estate.
Key Responsibilities Deliver a genuine, warm, and thoughtful welcome to all guests upon arrival,maintaininga polished and professional presence throughout their stay and at departure.
Manage check-in and check-out processes efficiently, ensuring accuracy, clarity, and adherence toestablishedstandards.
Anticipate guest needs proactively and take initiative to enhance satisfaction through personalised service.
Promote hotel services, upsell room categories whereappropriate, and cross-sell wider estate facilities to elevate the guest experience.
Respond to guest inquiries with confidence, professionalism, andtimelyfollow-through.
Maintain a well-organized, tidy, and guest-ready reception environmentat all times.
Manage incoming phone calls, directing them to theappropriate departmentsor taking detailed messages asrequired.
Support management of incoming mail, internal dispatching, and courier coordination.
Oversee the intake and handling of daily deliveries relevant to the front desk and guest services.
Complete shift checklists and follow departmental SOPs to drive consistent service delivery.
Serve as a liaison between internal departments, ensuringtimelyexchange of information and clear communication to support smooth hotel operations.
Collaborate closely with the Nights Team and other guest-facing departments tomaintainoperational continuity.
Relay guest requests to relevant teams, ensuring follow-up and accountability.
Maintain active communicationregardingroom statuses, housekeeping updates, maintenance issues, and guest preferences.
Assistwith general scheduling tasks, including calendar management and logistical coordination whererequired.
Contribute to reporting, documentation, and administrative duties in alignment with front office requirements.
Handle financial transactions related to reservations, deposits, or guest charges with accuracy and compliance.
Complete ad-hoc duties as assigned by management to support the broader operation.

Required Experience&Skills Minimum 1 year of hospitality experience, ideally within Front Office or guest-facing roles.
Strong communication, interpersonal, and organizational skills.

Demonstrated ability tooperatein a dynamic, guest-driven environment with a calm and solutions-oriented approach.
