Circet Ireland are currently recruiting for a Capacity Planning Manager to join our Installation Division.
Job Purpose Summary:
The Capacity Planner plays a pivotal role in ensuring the efficient, strategic deployment of workforce and resources across utility contracting operations throughout Ireland. This individual will be responsible for analysing demand patterns, coordinating personnel availability, aligning training initiatives, and supporting operational delivery through real-time scheduling and proactive planning. This position is integral to maximizing productivity, ensuring SLA compliance, and enhancing service reliability.
Key Objectives:
* Balance operational demand with workforce supply through smart planning and resource management.
* Enable a proactive approach to resource scheduling, minimizing downtime, overlaps, and service delays.
* Enhance field efficiency by aligning the right skills and tools to the right jobs at the right time.
* Provide key data and insights to drive continuous improvement across planning and operations.
Key Responsibilities:
* Resource Planning & Strategic Allocation: Analyse upcoming work volumes and forecast future capacity needs. Allocate resources in collaboration with regional managers to ensure service consistency and optimal utilization
* Annual Leave & Absence Management: Design and maintain a dynamic scheduling model that incorporates leave policies, holidays, and unplanned absences. Partner with HR and line managers to approve leave requests in a way that minimizes operational impact.
* Training & Workforce Development Alignment: Use data from performance and task metrics to identify skills gaps or emerging training needs. Work closely with the Training Academy to schedule upskilling or certification session
* Calendar & Capacity Booking Management: Oversee and manage real-time availability calendars integrated with client booking systems. Monitor scheduling patterns and adjust in real-time to avoid overbooking or underutilization
* Contact Centre & Scheduling Coordination: Act as the liaison between the contact centre and operations teams to ensure accurate job dispatching. Build logic into scheduling systems to assign jobs based on geography, engineer skill sets, availability, and job priority.
* Operational Support & First-Time Resolution Planning: Align closely with field operations to match engineers with jobs based on technical capability, certifications, and tooling. Support the goal of first-time fix success by ensuring engineers are well-prepared before deployment.
* Performance Monitoring & SLA Compliance: Track and report against key capacity and scheduling KPIs (e.g., response time, job completion rate, engineer utilization). Conduct trend analysis to inform strategic planning and resource decisions
Essential Qualifications & Skills:
* Experience in workforce or capacity planning, preferably in utilities, field services, or contracting.
* Strong proficiency in Microsoft tools and Excel.
* Excellent organizational and time management skills.
* Analytical mindset with the ability to interpret complex data sets and turn them into actionable insights.
* Strong interpersonal and communication skills for stakeholder engagement across all levels.
* Experience working with service level agreements (SLAs) and a focus on operational
* Performance.
Desirable Attributes:
* Knowledge of utility sector operations, safety standards, and regional regulatory requirements
* Familiarity with Lean or Six Sigma principles in scheduling or operational process improvement
* Certification in workforce planning, project management, or operational management is a plus.
