Administrative Assistant Key Responsibilities: Logistics Support: Place orders with suppliers and organise collection and delivery of products mainly from Italy and Spain Coordinate with suppliers and transport companies to ensure timely delivery of goods. Maintain records of all logistics and ensure accurate tracking. Liaise with contractors and customers to organise site delivery. Administrative Support: Maintain a well-organized filing system for administrative, finance, and project documentation. Prepare reports, take meeting minutes, and distribute them as needed. Assist with travel arrangements, including booking flights, accommodation, and transportation. Draft official emails and correspondence. Assist with procurement processes, such as processing purchase orders and invoices. Maintain and update project calendars and schedules. Other: Provide general office support, such as photocopying, preparing for meetings, and answering phones. Assist with data entry and reporting. Maintain confidentiality in all aspects of the role. Perform other administrative and logistical tasks as assigned. Skills and Qualifications: Strong organizational and time management skills. Excellent communication and interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Attention to detail and accuracy. Ability to work independently and as part of a team. Ability to handle multiple tasks and prioritize effectively. Knowledge of logistics principles and procedures. Experience with inventory management systems is a plus. Training will be provided
