Key duties and responsibilities Leadership & Management Acting PIC responsibilities Undertake the full responsibilities of the Person in Charge during periods of absence. Staff supervision Provide day-to-day leadership, guidance and support to care staff, administrative staff and catering staff. Shift leadership Lead shifts, allocate duties, and ensure smooth service delivery. Training coordination Ensure staff complete mandatory training and maintain accurate training records. Roster support Assist with preparing rosters and managing short-notice cover. Resident Support & Wellbeing Individualised support Treat all residents as individuals, ensuring their needs, preferences and comfort are prioritised. Support planning Assist with updating support plans, risk assessments and daily living plans. Personal care Provide personal care, mobility assistance and support with activities of daily living. Companionship & lifestyle support Support residents during periods of change, illness or family disruption. Medication Oversee safe delivery of medication in line with policy. Safeguarding monitoring Promote safeguarding awareness and escalate concerns appropriately. Resident meetings Support resident house meetings and ensure feedback is acted upon. Communication & Family Liaison Resident communication Maintain respectful, ongoing communication with residents. Family liaison Build positive relationships with families and respond to routine queries. Community engagement Support partnerships with local groups, volunteers and activity providers. Day Service & Activities Day service management Oversee all Day Care services, classes and activities. Activity coordination Plan and support social, recreational and community-based activities. Volunteer support Assist with coordinating volunteers and ensuring adherence to guidelines. Quality, Safety & Compliance Audit support Assist with internal audits including fire safety, infection control, food safety and documentation. Incident review Support the PIC in reviewing incidents, near misses and complaints. Policy implementation Ensure staff follow organisational policies and contribute to updates. Health & safety checks Carry out routine safety checks and escalate issues promptly. Regulatory awareness Keep abreast of HIQA standards and sector developments. Operational & Administrative Duties Record keeping Maintain accurate resident, staff and operational records. Procurement support Assist with ordering supplies, stock control and monitoring budgets. Maintenance oversight Oversee facilities and maintenance issues in the PICs absence. Fee collection Collect fees/rents where applicable, following financial procedures. On-call duties Provide on-call support as required by the PIC or Board of Management. Admissions & Service Development Admissions support Assist with pre-admission assessments, tours and onboarding of new residents. Data collection Gather service data for reporting and quality improvement. Project support Support the PIC with service development initiatives and community projects. Other Duties Reasonable duties Carry out any other reasonable duties assigned by the Person in Charge in line with the role and service needs.
